About The Position

The Fleet & Facilities Site Manager is responsible for executing all fleet, facilities and safety operations at the site, ensuring vehicles, equipment, and facility systems are safe, compliant, and fully operational. This is a hands-on role that owns day-to-day maintenance, inspections, vendor coordination, and site readiness. They ensure preventative maintenance programs, safety standards, and compliance requirements are consistently met, while quickly resolving issues that impact operations. Operating with a high level of ownership, this role manages site-level vendors, tracks asset performance, and maintains accurate system data to support compliance and operational visibility. The ideal candidate has a strong background in fleet operations and facilities maintenance, with excellent organizational, vendor management, and problem-solving skills.

Requirements

  • 3–5+ years of experience in fleet, facilities, logistics, or warehouse operations
  • Working knowledge of DOT, FMCSA, and CDL-related regulations and compliance requirements
  • Experience managing fleet maintenance, inspections, and preventative maintenance programs
  • Ability to perform basic diagnostics and troubleshoot fleet and facility equipment issues
  • Familiarity with warehouse equipment such as forklifts, aislemasters, balers, or similar systems
  • Experience coordinating vendors, obtaining quotes, and managing repairs or site-level projects
  • Experience working with systems such as Whip Around or similar tools for inspections, work orders, and tracking
  • Strong understanding of safety and compliance in operational environments (e.g., OSHA, warehouse safety standards)
  • Strong organizational skills with the ability to manage multiple priorities and maintain accurate documentation
  • Ability to work in a hands-on, fast-paced environment with a high level of ownership and accountability

Responsibilities

  • Oversee fleet and facility operations, including maintenance, repairs, inspections, and asset readiness
  • Manage preventative maintenance programs and ensure timely tracking and completion
  • Conduct vehicle inspections and enforce driver pre- and post-trip compliance
  • Maintain vehicle readiness, including cleanliness, organization, and proper stocking of supplies
  • Ensure vehicle systems (e.g., telematics, cameras) are functioning and escalate issues as needed
  • Perform facility walkthroughs and recurring compliance checks (e.g., fire extinguishers, HVAC filters, dock doors, equipment)
  • Maintain readiness of warehouse equipment (e.g., forklifts, aislemasters), including proper charging and usage
  • Ensure compliance with DOT, FMCSA, OSHA, and company standards
  • Support resolution of driver-related incidents, including breakdowns, accidents, and citations
  • Own building and equipment inspection schedules and resolve audit or compliance issues
  • Source and coordinate local vendors for maintenance, repairs, and site needs
  • Obtain and compare quotes within defined guidelines
  • Schedule work, manage scope execution, and drive timelines to completion
  • Oversee execution of site-level projects (repairs, upgrades, maintenance)
  • Monitor vendor performance and escalate issues related to quality, cost, or timelines
  • Coordinate vendors for diagnostics, repairs, and preventative maintenance
  • Accurately log inspections, defects, maintenance, and repairs in systems (e.g., Whip Around)
  • Own accuracy and completeness of maintenance, inspection, and compliance data
  • Review and resolve defects to ensure proper tracking and compliance
  • Maintain vehicle documentation (registration, insurance, permits) and ensure records are current
  • Maintain audit-ready documentation across fleet, safety, and facility operations
  • Provide updates on fleet readiness, repairs, and site conditions
  • Manage inventory of supplies, tools, and basic equipment
  • Monitor usage and proactively reorder supplies to prevent stockouts
  • Restock fleet and facility supplies as needed
  • Maintain organization of equipment, tools, and staging areas
  • Support daily site operations as needed to ensure smooth execution
  • Serve as the primary safety point of contact for the site and execute site-level safety programs
  • Maintain compliance with safety SOPs, signage requirements, emergency equipment protocols, and fire/life safety systems
  • Conduct routine safety walkthroughs, track corrective actions, and escalate unresolved issues
  • Lead site-specific onboarding and refresher training related to safety protocols and equipment use
  • Lead or support incident investigations, reporting, and corrective action plans
  • Coordinate with local emergency response agencies as needed
  • Ensure compliance with fire, city, and regulatory requirements
