The Fleet Department Administrative Specialist is responsible for supporting and maintaining our company's fleet of vehicles. This includes overseeing vehicle maintenance, tracking registrations and insurance, managing driver records, and ensuring compliance with all relevant regulations. The ideal candidate will be a detail-oriented individual with strong customer service skills and a proven ability to manage multiple tasks effectively.

Requirements

  • Previous experience in a similar setting in bookkeeping, accounts payable and data tracking is required
  • Proficiency in Microsoft Office Suite, particularly Excel (including data analysis and reporting) is required
  • Excellent customer service and communication skills (written and verbal) is a must
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively
  • Ability to work independently and as part of a team
  • Strong attention to detail and accuracy

Nice To Haves

  • experience in a fleet administrative support role or related admin role highly preferred
  • experience in fleet-related software or similar systems (CDK, Samsara, DMV, DOT platforms) being strongly preferred

Responsibilities

  • Maintain accurate records to include vehicle registrations, insurance, inspections, driver qualifications, licenses, and training records
  • Ensure compliance with all DOT and/or DMV regulations (depending on specific requirements)
  • Collaborate with vendors and process vehicle-related invoices and expenses in conjunction with our accounting department
  • Provide exceptional customer service to internal and external customers
  • Prepare and analyze fleet-related reports using Microsoft Office Suite (Excel, Word, etc.)
  • Manage vehicle maintenance schedules and repairs, ensuring minimal downtime
