About The Position

The Fleet Coordinator organizes and supports all aspects of crew travel, scheduling, and documentation for vessel operations. This role maintains accurate crew records, coordinates onboarding and training, and ensures compliance with maritime regulations and company policies. The position requires strong administrative skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced operational environment.

Responsibilities

  • Coordinate crew travel, including booking transportation and accommodations to and from vessels.
  • Maintain up-to-date crew records, including certifications, licenses, training requirements, and compliance documentation.
  • Monitor vessel staffing levels and proactively resolve crew shortages, coverage gaps, and scheduling conflicts.
  • Communicate regularly with captains, vessel leaders, and operations teams regarding crew changes and workforce needs.
  • Ensure adherence to applicable maritime regulations, internal policies, and client requirements related to crew management.
  • Track crew availability, leave schedules, and relief planning to support continuous vessel operations.
  • Assist with onboarding new crew members, including processing onboarding applications and coordinating required training.
  • Post job openings, vet candidates, and support candidate screening activities as needed.
  • Coordinate and track drug screenings and other pre-employment requirements.
  • Prepare and process travel expense reports and service letters related to crew assignments.
  • Create and maintain electronic personnel and scheduling files, ensuring data accuracy and confidentiality.
  • Enter and update personnel, travel, and scheduling information in company systems and spreadsheets.
  • Generate Excel reports and maintain SharePoint or similar platforms for crew and travel data.
  • Provide general administrative and clerical support to the operations and crewing teams.
  • Support emergency crew replacement efforts, including rapid travel coordination and schedule adjustments when needed.
