About The Position

The Fleet Assistant provides operational and administrative support to the Manager, Fleet & Asset Operations to ensure fleet readiness, documentation accuracy, asset organization, and deployment efficiency. This role supports daily operations of a multi-division fleet of 40+ vehicles and equipment assets. The Fleet Assistant assists with inspection tracking, maintenance coordination, yard readiness, inventory control, equipment distribution, and after-hours operational support. The position plays a key role in maintaining fleet compliance, operational continuity, and safe deployment readiness. Final compliance authority, capital approvals, and enforcement actions remain the responsibility of the Manager, Fleet & Asset Operations.

Requirements

  • 2–3 years in fleet support, logistics, yard operations, or related environment preferred.
  • Strong organizational and documentation skills.
  • Attention to detail.
  • Basic mechanical awareness.
  • Proficiency with digital systems (SiteDocs, Samsara, Excel/AirTable preferred).
  • Ability to work in a fast-paced environment.
  • Valid Class 5 driver’s licence.

Nice To Haves

  • Experience in industrial or construction environments considered an asset.

Responsibilities

  • Complete daily Pre-Trip inspections and Truck Sign-Out/Sign-In submissions within SiteDocs.
  • Support tracking of completed and outstanding inspection documentation.
  • Follow up with staff regarding missing documentation as directed.
  • Support staff to complete truck sign-out/sign-in documentation is complete and prepared for Manager review and sign-off.
  • Assist in documenting flagged deficiencies and maintenance requests.
  • Be present prior to vehicle deployment when scheduled to support inspection compliance.
  • Assist in ensuring Pre-Trip inspections are completed before vehicles depart.
  • Confirm returned vehicles are free of personal items and debris.
  • Clean returned vehicles (interior and exterior) to ensure redeployment readiness.
  • Report any personal items and/or garbage found in vehicles. Specifically, any evidence of policy violations (alcohol containers, vape, cigarettes, etc)
  • Confirm vehicles are equipped with required safety and operational equipment.
  • Assist with issuing deployment equipment (Zoleo devices, avalanche beacons, radios, etc.).
  • Guide new staff to learn how our vehicles are stocked. Where all equipment is kept and organized.
  • Assist staff with procedural guidance such as tire changes and chaining up (within company procedures).
  • Perform basic vehicle condition checks, including: Air conditioning functionality (summer readiness), Heater functionality (winter readiness), Lights, wipers, battery condition
  • Report service needs or mechanical concerns to the Manager.
  • Provide basic roadside assistance (battery boosting, flat tire changes) when safe to do so.
  • Participate in bi-annual seasonal tire changeovers.
  • Shuttle vehicles between yard, dealerships, and repair facilities.
  • Assist in scheduling preventative maintenance appointments.
  • Support vendor communication for service bookings.
  • Track maintenance status and update asset records.
  • Ensure maintenance documentation is accurate and current.
  • Maintain fleet-related inventory and conduct routine inspections.
  • Assist with ordering operational supplies and equipment as directed.
  • Monitor expiry dates of first aid kits, extinguishers, and required safety equipment.
  • Ensure operations garage and storage areas remain clean, organized, and functional.
  • Report low inventory levels promptly.
  • Maintain general yard organization and cleanliness.
  • Perform snow removal in yard and around building access points during winter conditions.
  • Apply de-icing materials to reduce slip and fall hazards.
  • Ensure safe pedestrian and vehicle access during inclement weather.
  • Pick up or drop off staff between yard and operational locations when required.
  • Support set-up and tear-down for operational meetings or equipment staging.
  • Follow all safe work procedures.
  • Use required PPE during yard and vehicle tasks.
  • Report hazards or unsafe conditions immediately.
  • Participate in safety meetings and training sessions.
  • Support compliance efforts aligned with WorkSafeBC and COR standards.
