About The Position

The Fleet Administrator will play a critical role in supporting the entire fleet team. The Fleet Administrator is committed to professionalism, timeliness, and quality in the completion of all deliverables. The following responsibilities are intended to describe the general nature and scope of work being performed by this position. This is not a complete listing, and other duties will be assigned based on the needs of our team and department’s growth.

Requirements

  • High School degree or GED required.
  • Minimum of 5 years of relevant work experience.
  • Advanced Microsoft Office skills, with an ability to become familiar with company-specific programs and software.
  • The ability to read, interpret and support all applicable DOT Regulations.
  • Ability to stay organized and proficient in decision-making.
  • Strong attention to detail and problem-solving skills.
  • Strong oral and written communication skills.
  • Excellent listening skills.
  • Ability to work well both independently and in a team environment.
  • Resourcefulness and the ability to easily adjust to changes in management direction.
  • Diplomacy, maturity, and the ability to keep matters confidential.
  • Ability to successfully interact with all levels of the organization.
  • Strength in initiative-taking, and a demonstrated record in proactively identifying improvement opportunities and acting upon them.
  • Ability to work efficiently and maximize productivity.
  • Proficient knowledge in researching and maneuvering around Internet sites.

Responsibilities

  • Direct supportive role to all fleet team members.
  • Maintaining, tracking, and reporting on a variety of programs.
  • Assist in maintaining a Vehicle Work Order tracking system.
  • Follow up timely on required information and forms via telephone, email, and direct contact.
  • Administrative, clerical and systems support of all fleet related activities within the fleet Some examples are listed below.
  • Assist with Driver Compliance Files and tracking
  • Dielectric, ANSI, DOT, Registration, and inspection tracking
  • Distribution of updated vehicle paperwork
  • Data entry of inventory for HUT and IFTA filing
  • Assisting with procurement and rental
  • Work order entry, reporting, and tracking
  • Recording team meeting minutes
  • Stay abreast of legal requirements and government reporting regulations affecting Fleet Management/DOT and ensure policies, procedures, and reporting remain in compliance.
  • Assist with other projects and perform other duties as assigned.
