About The Position

The Fleet Administrator oversees the daily operations and strategic lifecycle of our national vehicle fleet of passenger vehicles. This role is critical to ensuring our vehicles operate safely, efficiently, and in compliance with all regulatory requirements. The ideal candidate brings a blend of mechanical knowledge and administrative precision, coordinating across teams, vendors, and departments to support the success of our field operations.

Requirements

  • High school diploma or GED
  • Minimum of 2 years of experience in vehicle fleet management, maintenance coordination, logistics or related field.
  • Strong mechanical understanding of passenger vehicles to effectively communicate with mechanics and evaluate repair needs.
  • Ability to work effectively with a diverse group of stakeholders, from field drivers to executive management.
  • High level of accuracy in data entry and the ability to process complex logistics details.
  • Proven track record of regular, consistent attendance and self-motivation

Responsibilities

  • Lifecycle & Asset Management
  • Acquisition & Disposal: Administer the entire vehicle lifecycle, from initial purchase and upfitting through disposal.
  • Forecasting: Analyze fleet data to forecast future vehicle needs and replacement cycles.
  • Tracking: Maintain an accurate, real-time database of all fleet assets
  • Operational Oversight
  • Maintenance: Coordinate routine and emergency maintenance; audit repair orders for necessity and fair pricing.
  • Fuel & Telematics: Manage the fuel card program and monitor telematics data to optimize vehicle use.
  • Insurance & Compliance: Ensure all vehicles are properly insured and registered. Coordinate with insurance companies and drivers relating to accident claims and repairs.
  • Vendor & Internal Relations
  • Collaboration: Act as the primary point of contact for drivers, managers, and external vendors to resolve issues quickly.
  • Self-Direction: Manage multiple competing priorities and projects simultaneously with minimal supervision.
