About The Position

The Washington State Department of Transportation (WSDOT) is seeking a Fiscal Specialist 1 to provide essential clerical and fiscal support to employees and management within Eastern Area 2 in Colfax, WA. This position serves as the primary timekeeper and fiscal resource for approximately 35–45 employees, ensuring accurate payroll, labor tracking, inventory accountability, invoice and voucher processing, and compliance with WSDOT financial policies and procedures. This role also supports budget monitoring, third-party damage tracking, special motor vehicle permitting, and public-facing programs such as Adopt-a-Highway. Through accurate financial recordkeeping, timely fiscal transactions, and effective coordination with internal and external partners, this position helps ensure Area 2 Maintenance operates efficiently and supports the safe and reliable operation of the state highway system.

Requirements

  • Experience performing administrative, clerical, fiscal, payroll, inventory, or customer service functions in an office environment.
  • Demonstrated proficiency using computers and office technology, including Microsoft Word, Excel, email systems, scanners, copiers, printers, and multi-line telephone systems.
  • Ability to communicate effectively with employees, supervisors, customers, and external members of the public through verbal communication, email, and written correspondence.
  • Ability to provide customer service and respond professionally to inquiries from the public, employees, and partner agencies.
  • Ability to maintain confidentiality and appropriately handle sensitive payroll, personnel, and financial information.
  • Ability to organize, prioritize, and complete multiple assignments accurately while meeting established deadlines.

Responsibilities

  • Serve as the principal timekeeper for Maintenance and Operations Area 2, overseeing payroll functions, processing bi-monthly fiscal reports, leave balances, and employee schedule changes, and ensuring accuracy and compliance with deadlines.
  • Maintain proper coding for credit card purchases, receive and verify vendor invoices, and prepare payment vouchers.
  • Perform daily consumable inventory tracking, reporting, and reconciliation in compliance with established inventory guidelines, utilizing multiple databases.
  • Act as initial point of contact with the public and other agencies, answering a multi-line telephone and forwarding to appropriate personnel.
  • Issue Special Motor Vehicle Permits through the System Network for Oversize/Overweight Permits Information, batch documents, and audit for accuracy.
  • Maintain the filing system, personnel, vouchers, contracts, rest area calendar, adopt-a-highway correspondence, and a variety of reference material and manuals.
