About The Position

Under the direction of the Fiscal Services Manager, perform a range of accounting functions in accordance with organization policies and all applicable federal and state requirements. This position provides support across payroll, accounts receivable, budget and general ledger activities, including journal entries, accruals, allocations, account analysis and reconciliations.

Requirements

  • Knowledge of principles, practices and terminology of payroll, accounting and financial record keeping, preferably as they apply to California school accounting.
  • Knowledge of auditing and financial research and analysis procedures.
  • Knowledge of account number structure and correct use of object codes.
  • Knowledge of computer-based software programs that support this level of work, including but not limited to, word processing, spreadsheet, presentation graphics, and data entry onto custom databases.
  • Knowledge of data processing systems and applications in the field of payroll and accounting.
  • Knowledge of financial record keeping techniques.
  • Ability to act in a professional, cooperative and positive manner.
  • Ability to apply policies and procedures to the assigned duties and responsibilities of the position.
  • Ability to be self-motivated.
  • Ability to problem solve.
  • Ability to communicate clearly, concisely and effectively in speaking, reading and writing, including professional correspondence.
  • Ability to enter data onto standardized formats, using computerized data-based programs by basic keyboarding or 10-key skills and calculators.
  • Ability to examine, reconcile/balance, verify, and post assigned transactions.
  • Ability to perform general ledger maintenance and monitoring.
  • Ability to maintain accurate financial records.
  • Ability to make sound decisions necessary in the function of the position.
  • Ability to maintain consistent, punctual and regular attendance.
  • Ability to operate a computer and assigned office equipment; use a variety of computer software programs including, but not limited to, Escape Technology, Paycom, Google Sheets, Google Forms, Google Docs, Microsoft Office, Excel, Word, and PowerPoint.
  • Ability to pay attention to detail.
  • Ability to plan, prioritize and organize work to meet schedules and timelines.
  • Ability to prepare and process financial, accounting and payroll reports, documents, records, and materials.
  • Ability to process and record accounting transactions accurately.

  • Charter or school district business office experience preferred.

Responsibilities

  • Prepare and submit bi-monthly payrolls for certificated and classified employees
  • Set up and adjust payroll deductions
  • Resolve discrepancies between payroll and information from other sources (i.e., benefit providers)
  • Monitor payment of employee taxes, benefits, and voluntary deductions
  • Maintain a variety of manual and electronic documents, files and/or records (e.g., employment verifications, leave, deduction and payroll information, etc.) for the purpose of maintaining an up-to-date trail for reference and ensuring compliance with established regulations.
  • Maintain cash receipts log and prepare weekly deposits
  • Code and post deposits to the general ledger
  • Prepare supporting documentation for audits
  • Assist with accounts receivable
  • Assist with year-end close – reconcile payroll clearing accounts, prepare vacation and payroll accrual entries
  • Perform related duties as assigned.
