About The Position

Under the general direction of the Administrative Services Manager (ASM), the incumbent assists ASM in managing the fiscal and personnel operations within the College of Business (COB). The incumbent is responsible to ensure University and system-wide policies and procedures are followed for all COB’s funds: General fund (GF), Course Fee (CF), Instructionally Related Activities (IRA), Lottery, College of Professional International Education Revenue (CERF),Reimbursed Activities, other Trust funds and campus auxiliary funds such as Research Foundation, Long Beach State Foundation, Beach Shops and Associated Students Inc.

Requirements

  • Equivalent to a bachelor's degree in a related field and three years of related experience required.
  • Ability to establish and maintain professional working relationships with faculty, staff, students, and vendors.
  • Excellent working knowledge of office methods, procedures, and practices.
  • Ability to interpret university and system-wide policies and procedures.
  • Excellent skills in analyzing financial data.
  • Strong ability to perform complex tasks involving independent judgment, accuracy, and speed.
  • Excellent skills and knowledge of Windows, Word, e-mail, spreadsheet, and databases.
  • Good writing and oral communication skills.
  • Ability to communicate with an ethnically and culturally diverse campus community.
  • Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.
  • Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."

Responsibilities

  • Monitor budgets and expenditures for all funds.
  • Maintain the integrity of financial records.
  • Assist ASM in budget planning and financial assessments.
  • Examine procurement and payment request documents to ensure policies and procedures are followed.
  • Compile faculty assignment and prepare faculty workload reports in preparation for lecturer contracts and update and maintain lecture entitlement records.
  • Assist ASM in student recruitment process and staff timekeeping.
  • Coordinate Beta Gamma Sigma membership process.
