About The Position

This is a time-limited Fiscal Assistant II position responsible for processing and reviewing daily financial transactions for construction projects, including purchase orders, invoices, and payment applications. The role involves verifying transaction accuracy, ensuring required approvals, and serving as the primary point of contact for construction teams regarding transaction processing for fee developer projects. The position also requires coordinating approvals and monitoring their timely completion. Additionally, the Fiscal Assistant will compile and translate construction financial data into reports, collaborate with various departments for reporting needs, assist with audit preparation, and support project teams in monitoring budgets and expenditures. The role also includes providing analytical, financial, and compliance support, assisting leadership with administrative tasks, documenting and improving financial processes, and undertaking special projects as assigned.

Requirements

  • High school diploma or equivalent.
  • Three years of general accounts transaction experience.
  • Appropriate college course work or vocational/technical training may substitute at an equivalent rate for required experience.

Responsibilities

  • Process and review daily financial transactions for construction projects in myUFL, including purchase orders, invoices, and payment applications.
  • Verify accuracy of transactions and ensure all required approvals are in place before processing.
  • Serve as primary point of contact for construction teams on transaction processing for fee developer projects.
  • Coordinate approvals with Planning, Design, and Construction and monitor for timely completion.
  • Compile and translate construction financial data from multiple systems into clear, consolidated reports.
  • Collaborate with Finance & Accounting, campus partners, and stakeholders to support reporting and data needs.
  • Assist with audit preparation, research, and documentation requests.
  • Support project teams in monitoring construction budgets and expenditures.
  • Provide analytical, financial, and compliance support to the department.
  • Assist departmental leadership with administrative and operational tasks as needed.
  • Review and document financial processes to ensure consistency and efficiency.
  • Identify process improvement opportunities and help implement solutions across teams.
  • Other duties as assigned by the department leadership.
