About The Position

NDI Engineering Company is seeking a full-time Administrative Assistant with program analyst/administrative experience, preferably with DOD contracting financial reporting, or other financial management experience. This role involves analyzing financial data, performing funding analysis, maintaining records, and supporting contract requirements. The ideal candidate will be detail-oriented, organized, and capable of working independently or as part of a team. The position is located on-site in Thorofare, NJ.

Requirements

  • High School Diploma or equivalent of a (GED) or higher education
  • Experience working with senior staff and managers with minimum guidance.
  • Well versed in Microsoft products, eg, MS Teams, Office, Excel, PowerPoint, Word etc.
  • Self-starter.
  • Detail-oriented, organized, and able to work independently.
  • Strong organizational skills, attention to detail, excellent communication skills, and the ability to work independently or in a team.
  • Must be U.S. Citizen with an active Secret clearance, or the ability to obtain and maintain a Secret clearance prior to start.

Nice To Haves

  • Program analyst/administrative experience, preferably with DOD contracting financial reporting, or other financial management experience.
  • Use of management tools via AI, POWERBI or use of JIRA/SYSQL highly desired.
  • Utilizing AI tools to effectively enhance workflow and work environment a plus.

Responsibilities

  • Analyze financial data to predict future trends and advise on run out dates.
  • Perform funding analysis and execution reports and provide monthly feedback and recommended improvements.
  • Input, update, and maintain accurate records, databases, and spreadsheets (e.g., in Excel or specialized systems).
  • Process monthly subcontract commercial invoices.
  • Prepare and check data from reports, invoices, or financial records with minimal errors.
  • Assist in developing, planning and implementing a financial management system.
  • Develop and maintain a tracking system to organize and manage funding and metrics.
  • Support the update and delivery of all support contract requirements.
  • Create, scan, file, and retrieve physical and digital documents.
  • Manage correspondence (emails).
  • Review/update documents and reports, and correct for formatting/clerical errors and upload into central repository.
  • Manage digital and physical documentation, data entry, processing records and draft supporting document for processing.
  • Supporting specialized tasks including administrative, programmatic or financial reporting.
  • Update Department organization rosters and travel spreadsheets monthly.
  • Track department personnel including onboarding and hiring status.
  • Manage office supplies, inventory, supplies, procurement etc.
  • Track engineering metrics, if required.
  • Coordinate contracting actions and work with team members.
