About The Position

We are seeking a Finance & Office Administrator to provide day-to-day support with our accounting and office operations. This is a newly created role that consolidates key administrative and finance functions and offers the right candidate an opportunity to contribute meaningfully across multiple areas of the business. We are flexible on hours and open to the right candidate whether heavy part-time or full-time.

Requirements

  • High School Diploma or GED required
  • Strong attention to detail with a high degree of accuracy
  • Excellent organizational and time management skills with the ability to manage multiple priorities
  • Professional written and verbal communication skills
  • Comfortable working independently as well as collaboratively in a small team environment
  • Dependable, proactive, and eager to contribute across multiple functions

Nice To Haves

  • Associate’s degree in Accounting, Business, or related field preferred
  • Equivalent work experience will be considered in lieu of formal education
  • 1-3 years of experience in an accounts payable, bookkeeping, or accounting support role preferred
  • Familiarity with NetSuite or similar ERP/accounting software a plus

Responsibilities

  • Scan and enter vendor invoices into NetSuite accurately and in a timely manner
  • Support the Accounts Payable Coordinator with day-to-day AP functions and serve as backup as needed
  • Provide administrative support to the Senior AR Analyst including invoice distribution, payment tracking, and follow-up communications
  • Help maintain accurate and organized AP and AR records and documentation
  • Support month-end close activities and assist the Finance team with reporting and filing as needed
  • Provide additional accounting and finance support as assigned
  • Serve as the main point of contact in the reception area, welcoming visitors and keeping management informed with routine and requested reporting
  • Maintain the appearance and organization of common areas, ensuring a professional and efficient office environment
  • Manage incoming and outgoing correspondence, mail, and shipping packages
  • Provide direct administrative support including scheduling appointments, meetings, and events, booking travel, and maintaining contact and employee records
  • Oversee office equipment to ensure uninterrupted function, manage office supply inventory, coordinate with vendors, and arrange food delivery as needed
  • Maintain and organize filing systems both physical and digital
  • Assist with other office and administrative functions as assigned
