About The Position

Nevada Humane Society (NHS) is seeking a Finance Associate to join their team at the Reno Campus. This role is crucial for ensuring the financial operations that support lifesaving programs run accurately and efficiently. The Finance Associate will provide administrative and operational support to the finance department, including processing accounts payable, assisting with financial reporting, and maintaining financial records. This position is vital for responsible stewardship of donor contributions and organizational resources, enabling NHS to provide compassionate care for pets, find them loving homes, and save lives. The work directly sustains programs and services that advance NHS's mission.

Requirements

  • Experience in accounts payable, bookkeeping, finance administration, or related financial support role.
  • Experience entering invoices and processing financial transactions in an accounting or financial management system.
  • Experience maintaining financial records and supporting documentation with a high degree of accuracy and attention to detail.
  • Experience preparing financial reports, transaction summaries, or similar administrative financial documentation.
  • Experience handling cash, deposits, or point-of-sale reporting in accordance with financial procedures and internal controls.
  • 18 years of age or older.
  • Ability to work autonomously, manage multiple tasks, and meet deadlines efficiently.
  • Staying updated on community developments, particularly animal welfare.
  • High degree of accuracy and meticulous attention to detail.
  • Excellent verbal, written, and observational skills.
  • Self-starter with a goal-oriented mindset, willing to exceed prescribed work and time schedules to meet deadlines.
  • Possession of a valid Driver’s License with valid registration and insurance for personal vehicles, essential for positions requiring driving.
  • Demonstrated commitment to the welfare of animals and alignment with the mission of the NHS.
  • Consistently treat animals with compassion and respect, both professionally and personally, and promote these values to others.
  • Strict adherence to all local regulations concerning the ownership and care of personal animals.
  • Comprehensive understanding of pet behavior and care, with the capability to handle various animals safely and responsibly.

Nice To Haves

  • Experience working in a nonprofit organization, preferably in animal welfare or a mission-driven environment.
  • Experience supporting finance operations in a multi-department and multi-Campus organization
  • Experience with nonprofit accounting practices, including donor-funded or restricted funds
  • Experience in same or related position in a nonprofit setting-preferably animal welfare.
  • Record of continually increasing responsibilities with measurable results.
  • College degree.
  • Experience in a nonprofit agency.
  • Animal welfare experience.

Responsibilities

  • Process invoices, reimbursements, vendor payments and incoming donations; maintain accurate records in the accounting system.
  • Accurately record all cash, check, electronic and credit card receipts in the accounting system, ensuring proper coding to programs.
  • Prepare and verify bank deposits, ensuring all funds received are counted, documented, and deposited in a timely manner according to internal policies.
  • Coordinate with the Philanthropy team to ensure accurate recording of contributions and donor restrictions.
  • Reconcile credit card statements and other balance sheet accounts monthly to ensure accuracy and completeness.
  • Assist in preparing monthly financial statements, budget-to-actual reports and helping prepare financial documentation.
  • Complete reconciliations required for month-end close, ensuring deadlines are met and financial statements reflect accurate balances.
  • Support annual audit activities, maintain documentation for regulatory compliance, and follow internal financial policies.
  • Work with Philanthropy, operations, and program teams to resolve discrepancies related to donations and program spending.
  • Assist with payroll administration, employee expense reports and other finance related administrative tasks.
