About The Position

The Finance Assistant is responsible for accomplishing this mission by preparing and processing checks for vendors and assisting with other department duties. This is a full-time position working 40 hours per week, Monday through Friday, from 7:30 a.m. to 4:00 p.m. Currently, no remote hours are available. The work requires moderate physical effort including prolonged sitting and standing, and some lifting.

Requirements

  • High school diploma
  • Minimum of one (1) year of bookkeeping experience or an equivalent combination of education, training and experience.
  • Ability to maintain confidentiality and use appropriate judgment in handling information and records
  • Ability to manage multiple tasks and assignments, meet deadlines, and anticipate needs of the Fiscal Officer
  • Ability to work independently with general direction
  • Ability to write business correspondence using correct spelling, grammar and punctuation
  • Accurately copy and record figures
  • Ability to tactfully and effectively communicate and work with customers and staff in a personable and professional manner
  • Ability to interact with persons of various social, cultural, economic and educational backgrounds for the purpose of providing professional, courteous, and prompt service.
  • Proficient with online resources; including e-mail and online operating systems
  • Add, subtract, multiply and divide whole numbers; calculate fractions and percentages
  • Department policies and procedures
  • Develop and maintain effective working relationships with the Fiscal Officer, Deputy Fiscal Officer and other co-workers
  • Maintain accurate and complete accounts
  • Operate office machines (e.g. calculator, photocopier, fax, postage meter, shredder)
  • Prepare accurate and concise reports
  • Prepare final copy from draft or dictation
  • Proficient with Microsoft Office applications
  • Understanding of patron confidentiality requirements and ethics responsibilities under Ohio law

Responsibilities

  • Assists Fiscal Officer with balancing monthly reports and year-end activity
  • Assists with bank reconciliations and payroll data, as needed
  • Attends meeting and serves on internal committees, as requested
  • Balances account journals monthly and notifies Fiscal Officer of any discrepancies
  • Verifies Circulation Department register activity and prepares daily bank deposit(s) in the absence of the Deputy Fiscal Officer
  • Maintains and increases knowledge and skills through attendance at meetings, conferences, training seminars and in-service training sessions
  • Participates in strategic planning process
  • Posts expenses to appropriate account journals
  • Posts journal data to general ledger and submits to Fiscal Officer
  • Prepares and maintains miscellaneous records and reports
  • Processes and maintains independent contractor information such as W9 & OPERS forms
  • Prepares correspondence, as needed
  • Verifies requisitions for accuracy
  • Prepares and manages purchase orders
  • Prepares and ensures accuracy of checks written to vendors
  • Prepares and ensures accuracy of electronic payments
  • Ensures Library credit card is used according to Library policy and procedures
  • Updates status of accounts daily
  • Provides weekly purchase order, financial, and program speaker updates to managers & supervisors
  • Performs additional duties and assignments, as needed or requested
  • Manage employee personnel files from creation to microfilming
  • Assist with annual cash reconciliation and biennial audit preparation
  • Assists Fiscal Officer and Director in the records retention process
  • Maintains electronic employee human resources and benefit databases
  • Assists with the preparation of Board packets in the absence of the Executive Assistant
