About The Position

California Western School of Law is seeking a highly organized and service-oriented professional to join our team as the Faculty Support Services Supervisor. Reporting to the Director of Academic Affairs, this position plays an important role in supporting the success of our faculty by overseeing the day-to-day operations of Faculty Support Services and ensuring timely, accurate, and exceptional service to both full-time and adjunct faculty. The Supervisor will lead and develop a team, improve and implement processes, and coordinate a wide range of faculty support functions, including course materials, faculty onboarding, exam preparation, the online bookstore, and Law Review support. This is an excellent opportunity for an experienced administrative professional who enjoys leading a team, solving problems, managing competing priorities, and building effective processes in a collaborative and fast-paced higher education environment.

Requirements

  • College degree is required.
  • Must have five (5) years of progressively responsible experience in a high-paced, deadline-driven administrative support position, preferably supporting Faculty.
  • At least three (3) years of supervisory experience required.
  • Must be highly proficient at Microsoft Office and Adobe Standard.
  • Experience with database management preferred.
  • Experience in higher education a plus.
  • A combination of education and experience may be substituted.
  • Must be a self-starter and demonstrate sound work ethic.
  • Must be able to function independently with minimal oversight.
  • In addition to the ability to work independently, individual must be able to work in collaboration with colleagues across the organization.
  • Must have a firm commitment to provide exemplary services in a demanding and challenging environment.
  • Demonstrated ability and interest in working with a highly diverse student and employee population is required.
  • Strong interpersonal and communication skills using a variety of communication processes are essential.
  • Must be able to prioritize and manage multiple tasks of varying complexity and urgency in a timely and efficient manner.
  • Must possess high level of computer skills.
  • Advanced experience using Microsoft Office Suite (Excel, PowerPoint and Outlook).
  • Knowledge of Web-page maintenance.
  • Experience with database programs.
  • Must possess knowledge of effective internet search properties.
  • Aptitude for learning new technology will be beneficial.

Responsibilities

  • Serve as main point of contact for faculty and adjunct support requests.
  • Assign support requests to staff members as appropriate.
  • Assist with faculty onboarding, including but not limited to ordering business cards, office assignments, and online webpages.
  • Train CWSL faculty and staff to be proficient in Microsoft Office.
  • Review faculty reimbursements for accuracy.
  • Research and recommend new computer, software, and office equipment.
  • Supervise staff as it relates to student and non-student payroll functions.
  • Supervise, train, coach, discipline and evaluate assigned staff.
  • Delegate effectively to ensure workload is balanced for efficiency and effectiveness.
  • Provide appropriate feedback and coaching to assigned staff on a regular basis.
  • Accountability for employees’ performance results.
  • Partner with the Director of Academic Affairs to create the faculty support budget.
  • In consultation with the Director, plan and manage FSS staff overtime budget.
  • Work with appropriate level of assistance, instruction and supervision.
  • Proactively advise the Director of Academic Affairs of project status, potential issues, and overall progress.
  • Perform, with a team approach, other duties as required.
  • Manage projects for CWSL Law Review including but not limited to: Assist with creating and managing the Law Review Budget.
  • Process reimbursements, as needed.
  • Manage Subscriber List and work with publishers and agencies as appropriate.
  • Coordinate year-end activities including year-end banquet, order gifts and graduation tassels.
  • Order office supplies.
  • Assist with coordinating onboarding activities (new member orientation, recruiting events.
  • Assist with organizing symposiums.
  • Assist with sending communications to students and assist Editors in chief with updating Canvas pages, as needed.
  • Prepare letters, reports, classroom instructional materials, exams, articles, memos, and other materials as required.
  • Provide assistance to faculty on research and publication projects.
  • Maintain office equipment, copy center equipment, faculty printers, and adjunct office equipment.
  • Manage course material preparation including copyright permission procedures and copyright records.
  • Manage the distribution of course materials including seating charts, attendance sheets, and Legal Skills numbers.
  • Gather and publish course materials for faculty and adjuncts.
  • Supervise the exam support, including proofreading and preparing the exams for administration.
  • Ensure all exams are accurate and ready for print.
  • Work with the Registrar to resolve any exam issues.
  • Coordinate the annual faculty office shuffle, including partnering with Facilities on office moves and prep.
  • Manage the online bookstore and CMD (Course Materials Database), ensuring all course schedules, course materials, and pricing information is accurate, and appropriately and timely posted.
  • Manage course pack process, including copyright permissions, binding, and desktop copy orders.
  • Ensure course pricing is posted in compliance with the federal HEOA mandate.
