About The Position

Performs a variety of general secretarial duties for division faculty, including preparing correspondence, scheduling, typing and filing. This is a Regular Full-Time position located at the South Campus, with standard college hours of Monday – Friday, 8:30 am – 4:30 pm. Additional hours, including evening and weekend hours, may be needed to meet the needs of the department. The role requires the ability to travel to perform work duties at any campus or center location within the CCAC system and operate various office equipment and College software packages. Strong organizational, customer service, communication, interpersonal, and clerical skills are essential, along with attention to detail, the ability to multi-task, meet deadlines, and be a team player. Regular and timely attendance is required.

Requirements

  • High school diploma or GED
  • Experience in an office environment gained through previous job related or educational training.
  • Ability to travel to perform work duties at any campus or center location within the CCAC system.
  • Must be able to operate various office equipment, including a personal computer and appropriate College software packages or equivalent.
  • Good organizational, customer service, communication, interpersonal and clerical skills.
  • Detail oriented, ability to multi-task meet deadlines and be a team player.
  • Required to have regular and timely attendance.
  • Ability to sit for at least 2 hours without interruption.
  • Ability to lift textbook shipping boxes and load into cabinets, lift and unload copier paper boxes.
  • Current criminal record/child abuse clearances will be required if offered the position and to be employed at the College.

Responsibilities

  • Prepares exams, quizzes, syllabi/course outlines, correspondence, memos, reports and other forms for department faculty (to/for students, bookstore, community and/or other necessary personnel).
  • Screens phone calls; receives and directs visitors; receives, sorts and delivers mail to appropriate faculty/personnel.
  • Coordinates the printing and duplication of materials; coordinates bulk mailings of fliers and brochures to be sent to online students, area schools and community organizations.
  • Maintains schedule for students and faculty, including scheduling meetings, department events, conference calls, rooms (both scheduling and requesting changes when necessary).
  • Maintains and orders office, department and classroom supplies including textbooks; Creates purchase requisitions, vouchers, blanket orders, petty cash requests.
  • Prepares and follows through with trip requests and expense reports.
  • Maintains records; cancellation logs, syllabi/course outlines, mailbox list updates, textbook inventory, faculty directory, student and faculty information.
  • Prints rosters, test scores and other necessary paperwork; monitor enrollment per attendance reporting requirement period throughout semester for faculty.
  • Schedules repairs of various office/classroom equipment; copiers, Scantron.
  • Assists students with prep of drop/add, audit agreements, permission to enroll forms.
  • Perform all duties in accordance with applicable laws, collective bargaining agreements, board policies and administrative regulations and directives.
  • Performs other clerical duties for specific/unique needs of the department.
  • Performs other related duties as required or assigned.
