About The Position

Cameo Consulting Group LLC is seeking a Fact Witness Specialist or Equivalent to provide comprehensive witness management assistance throughout all stages of legal proceedings, including pre-trial, during trial, and post-trial. This role involves direct interaction with fact witnesses, ensuring they have the necessary information and support regarding court appearances, travel, and reimbursements. The specialist will coordinate with various legal and governmental entities to facilitate witness participation and manage related documentation and logistics.

Requirements

  • High School Diploma required
  • One (1) year of legal experience
  • Proficiency in using Microsoft Office (Word, Excel, PowerPoint, etc.)
  • Ability to communicate effectively both orally and in writing
  • Good organization skills
  • U.S. Citizenship

Responsibilities

  • Receive visitors, field phone calls, and respond to inquiries from fact witnesses regarding court appearances, pre-trial conferences, grand jury appearances, and expense reimbursements.
  • Obtain and organize pertinent information and necessary documents for arranging witness travel and reimbursements.
  • Initiate contact with fact witnesses to inform them about travel arrangements, appearance dates/times, and to identify any special circumstances or needs.
  • Utilize judgment to determine when to notify the Assistant United States Attorney (AUSA) of special circumstances or needs of fact witnesses.
  • Confer with the AUSA regarding fact witness appearances and special circumstances, such as special authorizations, international witnesses, military/federal employee witnesses, or hostile witnesses.
  • Complete and submit proper documentation for special authorizations and obtain prior approval before proceeding with travel arrangements.
  • Ensure all travel documents and appearance details are provided to witnesses prior to their appearance.
  • Make necessary travel and lodging arrangements for fact witnesses in accordance with Department of Justice and USAO policies and procedures.
  • Meet with fact witnesses upon arrival, provide courtroom orientation, accompany them to court, ensure a safe waiting area, and collect necessary documentation for reimbursement.
  • Prepare and submit documentation for fact witness reimbursements, including witness vouchers and other required documents.
  • Furnish requested information concerning pending and completed fact witness vouchers.
  • Gather required documentation and reconcile Government Travel Accounts.
  • Obtain information, confer, and coordinate with the Court, Probation, Pretrial, U.S. Marshals Service, investigative agencies, and other counterparts as necessary.
  • Complete variable aspects of recurring documents in conformance with established style and format rules.
  • Compose original letters that require knowledge of legal procedures and specialized terminology relevant to fact witness laws and regulations, without requiring legal interpretation.
  • Perform general office procedures related to fact witness management, including establishing and maintaining fact witness files, documents, and databases.
  • Assemble documents and other information for fact witness files and ensure retention in accordance with established procedures and Department of Justice regulations.
  • Establish and maintain a calendar and/or database of active and pending fact witness appearances, track hearings, trial dates, grand jury, and scheduling conferences.
  • Perform other administrative and logistical fact witness management duties as required or assigned.
