About The Position

Aldevra is seeking a qualified Fact Witness Specialist to support the Department of Justice (DOJ), United States Attorney’s Office (USAO) – Western District of North Carolina in Charlotte, NC. Requirements

Responsibilities

  • Provide witness management assistance prior to, during, and after trial, including working directly with fact witnesses to ensure their appearance for court, pre-trial conferences, and grand jury.
  • Receive visitors, field phone calls, and respond to inquiries from fact witnesses regarding court appearances, pre-trial conferences, grand jury appearances, and expense reimbursement. Obtain necessary information for files and documents to arrange witness travel and reimbursements.
  • Initiate contact with fact witnesses to notify them of travel arrangements, appearance dates/times, and to determine any special circumstances or needs.
  • Confer with Assistant United States Attorneys (AUSAs) regarding fact witness appearance and special circumstances, such as special authorizations, international witnesses, military/federal employee witnesses, or hostile witnesses. Complete and submit proper documentation for special authorizations and obtain prior approval before proceeding with travel arrangements.
  • Ensure all travel documents and appearance dates/times are provided to fact witnesses prior to their appearance. Arrange fact witness travel and lodging according to Department of Justice and USAO policies and procedures, including updating annual MOUs with hotels and ensuring forms are updated with current per diem rates and the newest DOJ forms.
  • Meet with fact witnesses upon arrival, offer and perform courtroom orientation, accompany witnesses to court, ensure a safe waiting area, and collect necessary documentation and signatures for witness reimbursement.
  • Prepare and submit documentation for fact witness reimbursement, including witness vouchers and other required documentation. Furnish requested information concerning pending and completed fact witness vouchers. Gather required documentation and reconcile Government Travel Accounts.
  • Obtain information, confer, and coordinate with the Court, Probation, Pretrial, U.S. Marshals Service, investigative agencies, and other counterparts as necessary.
  • Complete variable aspects of recurring documents in conformance with established style and format rules. Compose original letters that require a good working knowledge of legal procedures and specialized terminology relevant to fact witness laws and regulations, but do not require legal interpretation.
  • Perform general office procedures pertaining to fact witness management, including establishing and maintaining fact witness files, documents, and databases; assembling materials for fact witness files and retention according to procedures and DOJ regulations; establishing and maintaining a calendar/database of active and pending fact witness appearances; tracking hearings, trial dates, grand jury, and scheduling conferences; and performing other administrative and logistical fact witness management duties.

  • Perform other duties as assigned.
