About The Position

The Facilities Services Specialist role is primarily based in the Irvine office but will support all SoCal Market remote support, occasional on-site high profile event support. This role has responsibility for annual OHS/Safety & Security documentation/audit compliance requirements for offices in Irvine, Los Angeles, San Diego, and Honolulu. The specialist will work collaboratively with office leadership and corporate function colleagues to build trusted relationships, identify local business requirements, provide operational expertise and guidance, streamline processes, mitigate risk, and develop support solutions. They will ensure beneficial and cost-effective use of local, regional, or global resources and ensure local compliance with company policies and standards (e.g., security, compliance, branding, record management). The role also involves assisting the Corporate Real Estate team and local business leadership on real estate projects, managing relationships with external partners, tailoring and implementing service metrics, championing initiatives to improve profitability and service levels, and ensuring compliance with Willis Towers Watson policies and procedures. The specialist will maintain knowledge of regulatory issues related to facility operations, monitor financial reports to control operating costs, approve non-trade supplier invoices, and provide troubleshooting guidance. Additionally, the role will support and manage incoming Newfront integration for the Irvine Market, utilizing WTW values and a commitment to inclusion and diversity to guide performance.

Requirements

  • Must be knowledgeable of Willis Towers Watson policies and procedures.
  • Must maintain knowledge and awareness of regulatory issues and obligations related to facility operations requirements for the assigned geographies.
  • Must be able to regularly monitor financial reports in order to control office operating costs in a prudent manner.
  • Must be able to periodically approve non-trade supplier invoices in accordance with firm’s Approval Matrix and provide troubleshooting guidance to invoice coders when necessary.
  • Must be able to support and manage incoming Newfront integration for Irvine Market.

Responsibilities

  • Support all SoCal Market remote support, occasional on-site high profile event support, and have responsibility for annual OHS/Safety & Security documentation/audit compliance requirements for Irvine, Los Angeles, San Diego, and Honolulu offices.
  • Work collaboratively with office leadership and corporate function colleagues to build trusted relationships, identify local business requirements, provide operational expertise and guidance, streamline processes, mitigate risk, and develop support solutions.
  • Ensure beneficial and cost-effective use of local, regional, or global resources and ensure local compliance with company policies and standards.
  • Assist with Corporate Real Estate team and local business leadership on successful completion of real estate projects for offices in the jurisdiction and share related learnings.
  • Manage relationships with select external partners and stakeholders, as deemed necessary by business and/or other appropriate corporate functions, with agreement of REWS leadership.
  • Tailor and implement service metrics consistent with global or regional standards and share standards and metrics with local business leaders.
  • Champion initiatives that improve the firm’s profitability and service levels, manage/support related change management activities to reduce business disruption, and ensure FS involvement contributes to successful achievement of intended objectives.
  • Be fully knowledgeable of Willis Towers Watson policies and procedures and help ensure compliance plus expected behaviors and practices by colleagues in the office through communication, education and local office protocols.
