About The Position

This position provides the delivery of facility operations and support services to one or more sites within the department through a variety of activities, audits, and workspace-related tasks, exhibiting strong customer service and communication skills with the public and all levels of the organizational chart. This position serves as the “face” of Charlotte Water and is first point-of-contact for visitors and customers. This position requires strong multi-tasking abilities and ownership of behind-the-scenes support to ensure a smoothly functioning office operations environment.

Requirements

  • High school diploma or GED
  • One (1) years of related work experience OR an equivalent combination of education and relevant work/industry/military experience that provides the necessary knowledge, skills, and abilities to successfully perform the essential job functions.
  • Requires a valid driver’s license.
  • Must obtain and maintain a City Driver’s Permit.
  • Ability to communicate effectively, both verbally and in writing, with the public and all levels of the organizational chart
  • Ability to prioritize and manage multiple tasks simultaneously in a highly organized yet flexible fashion
  • Ability to work independently and be self-motivated and resourceful with a high level of personal responsibility and initiative
  • Ability to establish collaborative working relationships with other employees
  • Ability to solve problems creatively and with a strong sense of urgency
  • Ability to anticipate needs ahead of time and plan several steps ahead
  • Skill in using computers, spreadsheets, databases, word processing, and flow charting
  • Skill in general troubleshooting processes and root-cause identification
  • Skill in event planning and ensuring guests have an outstanding experience

Nice To Haves

  • Associate’s degree or equivalent
  • Two (2) years of related work experience
  • Prior experience as a successful office manager, service vendor account manager, hotel concierge or front desk manager, or other high-volume customer-facing service liaison
  • Prior experience entering and processing service work tickets
  • Prior experience taking inbound calls and routing them appropriately
  • Prior experience managing commercial mail and courier operations
  • Prior experience scheduling and managing events for executives and dignitaries

Responsibilities

  • Provide a remarkable, concierge-like lobby experience for Charlotte Water visitors and employees
  • Provide front desk receptionist functions including greeting visitors, routing calls, managing deliveries, and processing inquires as needed
  • Maintain and organize conference rooms, shared spaces, and breakrooms
  • Fill and clean coffee machines and schedule maintenance as needed
  • Manage mail and copy room operations, including mail and package delivery, plotting and printing equipment, and supplies replenishment
  • Serve as a Facilities resource for events and meetings including scheduling, logistics, and return-to-standard (this includes occasionally being on site outside regular business hours)
  • Support the general safety of facilities and occupants including monitoring for hazardous weather events and assisting with evacuation or shelter-in-place activities
  • Perform periodic seating audits to inform space occupancy operations
  • Update and maintain nameplates for workstations and offices
  • Perform related financial duties including, but not limited to : procuring quotes for goods and services, entering requisitions for purchase orders, and reconciling P-Card accounts
  • Document work related activities in appropriate systems
  • Perform other related job duties as assigned.
