About The Position

Trinity Management is seeking a highly organized and customer-focused Facilities Coordinator to join our property management team. This role is the first point of contact for residents, visitors, and vendors while providing administrative support to ensure the daily operations of the community run smoothly. The ideal candidate is detail-oriented, enjoys working in a fast-paced environment, and has excellent communication and organizational skills.

Requirements

  • Bilingual in Spanish or Cantonese
  • Previous administrative, customer service, receptionist, or property management experience preferred.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Professional, positive, and customer-focused attitude.
  • Proficiency with Microsoft Office (Word, Outlook, Excel) and general computer systems.

Nice To Haves

  • Experience with Yardi is a plus but not required.

Responsibilities

  • Greet residents, visitors, vendors, and guests in a professional and welcoming manner.
  • Answer and direct incoming phone calls.
  • Receive, sort, and distribute incoming and outgoing mail.
  • Maintain organized office and resident files.
  • Prepare letters, memos, purchase orders, move-in packets, and other documents.
  • Log office traffic, calls, and visitors.
  • Accept resident application deposits and assist with application processing.
  • Collect rent payments following company procedures.
  • Receive, enter, and process maintenance work orders.
  • Coordinate emergency communication with the appropriate personnel when needed.
  • Assist residents with questions and concerns while escalating issues to the Community Manager as appropriate.
  • Support leasing and marketing efforts, including conducting tours and processing applications when needed.
  • Assist with advertising logs and accounts payable processing.
  • Utilize Yardi property management software (training provided if applicable).
  • Perform additional administrative and operational duties as assigned.
