About The Position

The Facilities Office Services Coordinator role is a full-time position that directs and oversees all mailing/postal services, receiving/shipping logistics, and office supply needs for the Miller Electric Center and supports mail services generally at the Jaguars offices.

Requirements

  • Valid Florida driver license and safe driving record.
  • Ability to communicate clearly and concisely.
  • Thorough understanding of U.S. postal regulations and safety standards.
  • Ability to prioritize, plan, and organize work.
  • Ability to use or learn to use mail center equipment and software.
  • At least two years of related experience, or equivalent combination of training, education, and experience to provide necessary knowledge and abilities.
  • Must be able to work in a fast-paced environment.
  • Must be able to lift, push, pull, carry, and move items weighing over 70 pounds.
  • Must be able to operate a forklift (and have any necessary licenses).
  • Able to work on foot for extended periods of time and to work non-traditional business hours, including nights and weekends.

Responsibilities

  • Manage mail center operations primarily at the Miller Electric Center.
  • Schedule and manage incoming and outgoing deliveries and mail.
  • Pick up, deliver, and process interdepartmental and external (U.S., international) mail, parcels, and other materials.
  • Operate mailroom machinery, including postage metering and document insertion equipment; performs basic maintenance as needed.
  • Maintain and develop records for billing, inventory, mailing, and parcel shipping.
  • Order materials and supplies needed for the mail center.
  • Develop and maintain relationships with vendors, departmental customers, and other related individuals.
  • Manage internal and external relationships courtesy and professionalism.
  • Become a trusted resource for internal and external stakeholders when it comes to shipping, receiving and related logistics.
  • Oversee and maintain mail center budget.
  • Negotiate maintenance and new purchase contracts for machinery.
  • Oversee gathering, storage, and redistribution of surplus property.
