About The Position

As a member of CIBC’s Facilities Management Team, you’ll work in a fast-paced back-office operational environment where you’ll make a meaningful difference in our clients’ lives. As a Facilities Management Administrator, you’ll provide daily administration functions to the Facilities Management team supporting the CIBC Square campus; oversee, administer, and provide input to documented procedures and processes for the Facilities Management team, ensuring attention to detail and raising opportunities for process efficiencies; And provide business partner support in relation to managing the day-to-day operations of the Ecosystems at CIBC Square, managing issues related to premises, and activities related to occupancy and onboarding/offboarding. You’ll make sure client satisfaction and productivity standards are achieved and Service Level Agreements (SLA) are met or exceeded by following well-defined procedures and guidelines and escalating issues as appropriate. Responsibilities

  • Provide daily administration functions to the Facilities Management team supporting the CIBC Square campus.
  • Oversee, administer, and provide input to documented procedures and processes for the Facilities Management team, ensuring attention to detail and raising opportunities for process efficiencies.
  • Provide business partner support in relation to managing the day-to-day operations of the Ecosystems at CIBC Square, managing issues related to premises, and activities related to occupancy and onboarding/offboarding.
  • Ensure client satisfaction and productivity standards are achieved and Service Level Agreements (SLA) are met or exceeded by following well-defined procedures and guidelines and escalating issues as appropriate.
  • Conduct investigation and detailed analysis on item errors according to established guidelines to determine the nature of the issue, identifies root cause and resolve the error.
  • Receive, review and investigate item errors.
  • Adhere to all risk and governance standards by completing all required documentation thoroughly and ensuring that all processes and procedures are followed.
  • Work closely with your team to deliver a great customer experience.
  • Ensure that your team's collective work meets quality standards, deadlines and service level agreements.
  • Identify and resolve items of discrepancy and follow up on process problems within area of responsibility using independent judgement based on standard work procedures.
  • Act like an owner by taking accountability for issues, and know when to lean on others to build a better solution together.
  • Receive, prioritize, sort and evenly distribute work to staff within a production area.
  • Respond to questions and provide guidance.
  • Complete quality checks for work completed to ensure accuracy.
  • Monitor workflow to ensure priority is given to unresolved matters that cause backlog or delays in process flow.
