About The Position

KINECT SOLAR IS SEEKING A DETAIL-ORIENTED FACILITIES & COMPLIANCE COORDINATOR TO OVERSEE FACILITY ONBOARDING, OPERATIONAL SUPPORT, AND CORPORATE COMPLIANCE FUNCTIONS. THIS ROLE IS DESIGNED TO STREAMLINE FACILITY SETUPS, OPERATIONAL COMPLIANCE, OFFLOAD ADMINISTRATIVE TASKS FROM LEADERSHIP, MANAGE VENDOR INSURANCE AND TAX DOCUMENTATION, AND HANDLE MONTHLY ACCOUNTING ENTRIES RELATED TO FACILITY LEASE LIABILITIES AND OPERATIONS.

Requirements

  • 5+ years of experience in administrative, operational, or accounting support roles.
  • Basic understanding of financial concepts, general ledger accounting, and journal entries (experience with ASC 842 lease accounting preferred but not required).
  • High proficiency with vendor management, compliance documentation (COIs), and facility setup processes.
  • Strong organizational skills with the ability to prioritize tasks independently and support executive schedules.
  • Direct experience navigating and entering transactions within NetSuite.

Responsibilities

  • Coordinate utility connections (water, power, security, internet) and service schedules for all new facility sites.
  • Manage, review, and approve monthly utility invoices across all operational locations.
  • Coordinate and oversee facility maintenance, repairs, and vendor service providers to ensure operational readiness, timely issue resolution, and compliance with lease and facility requirements.
  • Partner with Warehouse Operations and Human Resources to coordinate facility staffing needs, ensuring temporary operational personnel are recruited, onboarded, and in place to support project schedules and facility startup requirements. Review, verify and approve all vendor bills submitted by temporary staffing agency.
  • Assist leadership with scheduling customer site visits, executive travel, and daily administrative tasks.
  • Take full ownership of collecting, tracking, and maintaining current Certificates of Insurance (COIs) for warehouse partners and all other vendor types.
  • Manage all property insurance compliance documentation, including preparing and submitting COPE information for new facility additions, and partnering with Higginbotham on quarterly audits of the warehouse Statement of Values (SOV) to verify the completeness and accuracy of insured locations and property assets.
  • Manage administrative duties related to the Warehouse Legal Liability (WLL) insurance policy.
  • Manage facility-related claims and act as the liaison between Higginbotham and the customer, as needed.
  • Enter all new warehouse leases into Lease Crunch and manage compliance with ASC 842 Lease Liabilities across all applicable property leases.
  • Prepare and post monthly lease accounting Journal Entries (JEs) and maintain supporting reconciliation schedules.
  • Maintain detailed records of warehouse security deposits, maintain supporting schedules, perform monthly balance sheet reconciliations, and manage the deposit return process with warehouse owners at the conclusion of lease terms to ensure timely recovery of company assets.
  • Filing yearly retention statements in jurisdictions where Kinect has warehouse locations and inventory, track compliance and nexus.
