As an Experiential Production Coordinator, you support the planning and execution of live experiences—from concept development through post-event reconciliation. You help keep projects organized, on track, and moving forward by managing logistics, documentation, and vendor coordination. This is a foundational role designed to build fluency across production operations, vendor management, and live event execution. You will work across multiple projects at different stages, gaining exposure to how experiential work comes to life at scale. You bring strong organization, attention to detail, and a willingness to jump in wherever needed to ensure successful delivery. This role will begin as a temporary assignment with the strong potential to convert to a full-time position.

Requirements

  • Curious about experiential marketing and live event production.
  • 1–3 years of experience in experiential, events, hospitality, or production coordination.
  • Familiarity with project coordination, logistics, or event support.
  • Proficiency in Google Suite, Slack, and project management tools (e.g., Asana).
  • Willingness to travel and work flexible hours, including holidays, evenings, and weekends as needed.

Responsibilities

  • Support producers in developing timelines, budgets, and core production documents.
  • Assist in pre-production meetings, site walkthroughs, and planning sessions.
  • Help manage logistics across activations, including run-of-show documents and production schedules.
  • Support load-in, onsite execution, staff training, and load-out as an extension of the production team.
  • Research, source, and coordinate vendors, venues, and suppliers.
  • Collect and manage vendor quotes, contracts, and COIs.
  • Maintain communication with external partners to ensure timely delivery and execution.
  • Track invoices, contracts, and production documentation.
  • Support budget tracking, reconciliation, and post-event reporting.
  • Maintain organized files and documentation to ensure transparency and efficiency.
  • Collaborate across internal teams including creative, strategy, and account.
  • Build foundational relationships with vendors and partners.
  • Stay informed on cultural and industry trends across sport, music, fashion, and lifestyle.
