About The Position

Under the emergency order, applicants who meet the requirements may be hired for an initial period of up to 90 days, with an opportunity for permanent County employment. Before the end of the initial work period, the work performance will be assessed. This assessment will be weighted 100%. Those who successfully pass the assessment will be considered for permanent appointment to Executive Secretary III. Requirements

  • Option 1: One year of highly complex and highly responsible secretarial experience at the level of Los Angeles County's class of: Senior Secretary V, Management Secretary III, Management Secretary IV, Senior Management Secretary I, Senior Management Secretary II.
  • Option 2: Two years of complex and highly responsible secretarial experience at the level of Los Angeles County's class of Secretary V, Senior Secretary III, Senior Secretary IV, Management Secretary I, Management Secretary II.
  • Option 3: One year of experience at the level of Los Angeles County's class of Staff Assistant II assisting the manager of a line operation in a County department.
  • Option 4: Two years of experience at the level of Los Angeles County's class of Staff Assistant I assisting the manager of a line operation in a County department.
  • Experience is evaluated on the basis of a verifiable 40-hour week. Prorated part-time experience will be accepted. Include the number of hours worked per week for each position.
  • A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions.

Responsibilities

  • Schedule all appointments, speaking engagements, conferences, and conference room reservations for the Director and Executive Staff.
  • Perform as Administrator of DEO Executive Call Center, monitor the Call Center Board.
  • Answer phone lines, screen calls and assist callers, refer callers, transfer calls, and take messages.
  • Assist the Director and Executive Assistant with Board letters, formatting and posting of Board letters/reports to the Board Shared Documentum.
  • Recognize the need for revisions of documents, letters, and meeting announcements and make recommendations regarding such changes to staff.
  • Prepare various arrangements such as travel, training, conferences via Concur for flights, hotels, and expense reimbursements.
  • Perform as Executive Office Timekeeper, proxy for timecards, overtime, MARS, and ePARs.
  • Maintain electronic/office files and records.
  • Assign and track all Director’s office assignments.
  • Secure information on the status of pending matters and reasons for delay in the completion of projects.
  • Manage day-to-day inquiries and issues as appropriate and provide confidential and personal support services to the Director as requested.
