About The Position

The Building People, LLC, has a position open for a Lead Administrative Assistant. The primary role is to coordinate requests for reservations and logistical support related to the Auditorium, meeting spaces, training rooms and special events within the building. This is for an upcoming position, and applications are being accepted for this anticipated need.

Requirements

  • Ability to coordinate requests for reservations and logistical support.
  • Ability to manage space reservations system.
  • Ability to coordinate delivery and quality of reserved space and requested conference services.
  • Ability to coordinate and track customer service and repair requests.
  • Ability to manage building operations and facilities services requests.
  • Ability to maintain a daily report of upcoming events.
  • Ability to receive and dispatch daily trouble calls.
  • Ability to maintain database and track completion.
  • Ability to maintain reports detailing activities, trends, and complaints.
  • Ability to manage special events and coordinate set-ups and logistical support services.
  • Ability to manage logistical service requirements for employee moves, event management, sign management, furniture moves and repairs, and telephonic and computer relocations.
  • Ability to perform tasks involving extended walking to collect information or perform inspections.
  • Ability to maintain a working knowledge of building layout and business center functions.
  • Ability to initiate contact and monitor response related to the Materiel Management Branch (MMB).

Responsibilities

  • Provide a central point of contact for services to employees and visitors.
  • Assist customers in defining their service and/or reservations needs.
  • Manage space reservations system and requests for conference and training spaces.
  • Coordinate delivery and quality of reserved space and requested conference services.
  • Coordinate and track customer service and repair requests to service providers.
  • Manage building operations and facilities services requests.
  • Maintain a daily report of upcoming events for the following business day.
  • Receive and dispatch daily trouble calls for services related to building operations (repairs, housekeeping, elevators, safety, etc.). Maintain database and track completion.
  • Maintain reports detailing activities, trends, and complaints as required.
  • Provide a primary point of contact (POC) or management of special events and physically coordinate special event set-ups and logistical support services.
  • Manage logistical service requirements related to internal / external employee moves, event management services, sign management, furniture moves and repairs, as well as telephonic and computer relocations.
  • Perform other tasks involving extended walking to collect information or perform inspections.
  • Maintain a working knowledge of the building layout and general information related to business centers and their functions.
  • Initiate contact and monitor response related to the Materiel Management Branch (MMB) for delivery of paper, furniture, shuttle services, and other related delivery/labor requirements.
