Bowhead Information Technologies Service is seeking an Executive Secretary to support our Space Forces – Space customer.
Requirements
Bachelor’s degree, experience with TMT, and 3+ years of administrative support experience for senior leadership (e.g. general/flag officer or senior executive level) required
Advanced skills in Microsoft Office (Outlook, Word, PowerPoint, Excel, SharePoint, etc.)
Maintains the specific skills, knowledge, and comprehension to perform all task functions quickly and accurately without supervision or assistance.
Must currently hold an active Secret clearance at a minimum (Top Secret with SCI Eligibility is preferred). Individuals without a TS/SCI will be submitted for this clearance once onboarded to the project.

Responsibilities
Provide Executive Assistant support to S4S S0
Complete admin duties to include preparing and reviewing internal/external documents and managing assigned taskings using the Task Management Tool (TMT) on the NIPRnet and SIPRnet coordinating with action officers to ensure they are aware of assigned tasks and due dates
Manage calendar and engagements for the S0 Directorate leadership
Take meeting minutes and document action items
Answer routine telephone calls, direct calls and take messages, and engage with internal and external personnel to the organization
Create, draft, proofread, edit, and coordinate correspondence, visual products, and graphics to include posters, flyers, diagrams, charts, and infographics
Maintain tracking records and filing systems, archive files
Maintain, update and serve as focal point for database, spreadsheets, or SharePoint lists
Assist in coordinating, planning, scheduling, organizing, and execution of meetings, events, conferences, and off-sites
Prepare access rosters and request security clearance transfers
Help in ordering supplies or equipment and arranging for office equipment repairs
Assist in the handling and processing of awards, decorations, and evaluations
Additional administrative duties as assigned by the Government Point of Contact in concurrence with scope of work
Compose written communication in response to a large volume of complex internal and external customer inquiries
Assist in maintaining inventories, records, and receipts
Provide support for scheduling and coordination of activities, conference rooms, calendar management, telephone conferences and messaging, travel arrangements and vouchers and briefing and correspondence review for grammar and formatting
Serve as member of in/out processing team
Ensure all necessary documentation is prepared on behalf of the inbound/outbound personnel to allow proper processing
Maintain government records and database management process and procedures
Process official tasks initiated by external or internal agencies
Provide content management, document repository, and coordination on SharePoint with other S0 knowledge management personnel
