About The Position

Psych Health Associates (PHA) is seeking an experienced and highly organized Executive Director of Behavioral Health Operations to oversee the day-to-day operational infrastructure supporting our psychiatry, psychology, and Behavioral Health Integration (BHI) service lines throughout post-acute care settings. This executive leadership position is responsible for ensuring operational excellence across provider scheduling, onboarding, credentialing, workforce planning, payroll coordination, performance management, administrative workflows, reporting, and special projects. The Executive Director of Behavioral Health Operations serves as the operational backbone of the organization, partnering closely with executive leadership to support scalable growth, efficiency, compliance, and service delivery across 200+ facilities statewide. The ideal candidate is a strategic operator who excels at building systems, managing processes, leading teams, and driving accountability in a fast-paced healthcare environment.

Requirements

  • Bachelor's Degree in Healthcare Administration, Business Administration, Operations Management, Human Resources, or related field.
  • Minimum 5 years of progressive healthcare operations leadership experience.
  • Experience supporting multiple healthcare providers, facilities, or service lines.
  • Strong organizational, analytical, project management, and leadership skills.
  • Experience managing operational workflows, KPIs, and process improvement initiatives.
  • Proficiency with healthcare reporting systems, spreadsheets, and operational analytics.

Nice To Haves

  • Master's Degree in Healthcare Administration (MHA), Business Administration (MBA), or related field.
  • Experience in behavioral health, psychiatry, psychology, post-acute care, skilled nursing facilities, or healthcare services.
  • Experience with provider credentialing, workforce planning, and healthcare compliance.

Responsibilities

  • Provide executive oversight of daily operations across psychiatry, psychology, and Behavioral Health Integration (BHI) departments.
  • Develop and implement operational processes that support organizational growth, efficiency, and service excellence.
  • Identify operational bottlenecks and implement solutions to improve workflows and scalability.
  • Ensure alignment between operational objectives and organizational strategic initiatives.
  • Serve as a key operational advisor to executive leadership.
  • Oversee provider scheduling and deployment across all service lines.
  • Monitor provider capacity, facility assignments, coverage needs, and productivity trends.
  • Ensure adequate staffing and coverage for existing facilities and new business opportunities.
  • Collaborate with clinical and facility leadership regarding provider utilization and workload management.
  • Develop processes to optimize provider productivity while maintaining quality standards.
  • Oversee onboarding processes for newly hired providers and newly contracted facilities.
  • Ensure timely completion of onboarding activities, training, credentialing, EMR access, and operational readiness.
  • Partner with recruiting, credentialing, and leadership teams to facilitate smooth transitions and successful launches.
  • Monitor onboarding timelines and identify opportunities to improve efficiency and provider experience.
  • Provide oversight of provider credentialing, facility credentialing, payer enrollment, and contract compliance activities.
  • Monitor credentialing timelines and ensure providers are credentialed and operational as efficiently as possible.
  • Collaborate with credentialing specialists to resolve barriers and maintain compliance standards.
  • Support audits and operational reviews related to provider and facility documentation.
  • Coordinate employee performance review processes, including 30-day, 90-day, annual, and corrective action reviews.
  • Assist leaders with employee coaching, development planning, and performance improvement initiatives.
  • Support workforce planning, succession planning, and organizational development efforts.
  • Participate in recruiting activities including candidate interviews, hiring recommendations, and onboarding planning.
  • Partner with leadership to support employee engagement and retention initiatives.
  • Review payroll reports, bonus calculations, incentive tracking, and compensation adjustments for accuracy.
  • Collaborate with finance and HR teams regarding payroll processing and provider compensation matters.
  • Monitor productivity metrics that impact provider compensation programs.
  • Assist with implementation and administration of incentive programs and bonus structures.
  • Develop and maintain operational dashboards and performance reports.
  • Monitor key performance indicators including: Provider productivity, Staffing utilization, Onboarding timelines, Credentialing timelines, Facility coverage, Employee retention, Provider retention, Revenue-supporting operational metrics.
  • Present operational reports and recommendations to executive leadership.
  • Utilize data to drive decision-making and continuous improvement initiatives.
  • Oversee administrative teams and operational support functions.
  • Ensure consistency of operational processes, policies, procedures, and documentation standards.
  • Improve communication systems, workflow management, and project tracking.
  • Lead initiatives focused on operational efficiency and standardization.
  • Support implementation of technology platforms and process improvements.
  • Lead high-priority projects assigned by executive leadership.
  • Support organizational growth initiatives, acquisitions, integrations, and service expansions.
  • Assist with implementation of new operational systems and workflows.
  • Manage cross-functional projects involving psychiatry, psychology, BHI, recruiting, credentialing, finance, and business development teams.
