About The Position

The Executive Coordinator I provides complex administrative support to senior leadership and plays a key role in driving operational efficiency across the department. This role involves preparing reports and correspondence, managing projects and programs, and optimizing internal processes. The Executive Coordinator I also serves as a liaison across teams and external partners, ensuring smooth communication and coordination. Provide support, development and/or leadership guidance to all volunteers. Perform all duties and responsibilities in compliance with standard operating procedures and other applicable Federal, State and local regulations. This role is not eligible for relocation assistance. This role will report to the Regional Office in Seattle, WA 3 days a week (Tuesday, Wednesday, and Thursday). Travel - 10%

Requirements

  • High School or equivalent required.
  • Minimum 7 years of related experience or equivalent combination of education and related experience required.
  • Excellent verbal and written communication skills.
  • Proficient in personal computer use and Microsoft Office Suite.
  • Proficient typing skills required.
  • Ability to work on a team.
  • Physical requirements are those present in normal office environment conditions.
  • Operational flexibility is required to meet sudden and unpredictable needs.
  • Ability to use a personal computer, applicable software, and office equipment for sustained periods of time.
  • May include sitting for long periods of time, driving a vehicle, and working under challenging conditions.

Nice To Haves

  • Knowledge of organizational policies and procedures that relate to operations within assigned organizational unit is preferred.
  • Ability to prepare and edit complex documents is preferred.
  • Experience engaging with board members and high-profile community leaders.
  • Demonstrated experience in project management, including planning, tracking, and driving initiatives to completion in alignment with executive priorities is highly preferred.
  • Proven ability to manage multiple, competing tasks and projects in a highly matrixed, fast‑moving environment while maintaining accuracy and attention to detail.
  • Exceptional skill in navigating high‑demand, high‑urgency situations, with the ability to quickly assess priorities, adjust workflows, and ensure timely execution under tight deadlines.
  • Adept at working under pressure, demonstrating sound judgment, composure, and resourcefulness when handling urgent requests or shifting executive priorities.
  • Proactive mindset with a track record of anticipating needs and taking initiative to solve problems before they arise.

Responsibilities

  • Provides support to the American Red Cross Northwest Region leadership team (Regional CEO/board/executive directors), including executive assistant support (calendar, travel etc.) for the RCEO.
  • Perform a variety of complex administrative duties, with little supervision and exercising confidentiality.
  • Prepare and maintain memos, records, reports, data or correspondence for management or staff review.
  • Review correspondence for consistency with corporate policies and practices.
  • May develop high-level presentations and/or spreadsheet reports and run specialized queries from department database.
  • Initiate, prepare, and edit written materials, correspondence, and reports using various software and/or database management applications.
  • Compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations supporting functional area or business unit/project by utilizing specific database or software applications.
  • May administer a particular project involving operational issues and compile results and findings for management review.
  • May participate as a department representative on a cross-functional project team or serve as a project manager for an intra-department project.
  • May provide functional supervision to clerical/administrative staff assigned to unit.
  • Provide support, development and/or leadership guidance to all volunteers.
  • Perform all duties and responsibilities in compliance with standard operating procedures and other applicable Federal, State and local regulations.
