About The Position

Nationwide IT Services is seeking a full-time Executive Assistant (EA) to support the Department of Health and Human Services (HHS), Office of Equal Employment Opportunity (EEO), and Strategic Engagement and Partnerships Division. The candidate will perform administrative duties for executive management. The main duty of the EA is to anticipate and relieve the executive of administrative-type functions to increase the time an executive has available for executive-level responsibilities. Requirements

  • Advanced computer skills (proficient in the use of Microsoft suite products)
  • Internet research skills
  • Ability to handle a wide variety of situations and conflicts involving the clerical and administrative functions of the office
  • Ability to handle confidential and time-sensitive material
  • Minimum educational requirement is an associate degree from an accredited university, plus 8 years of experience working as an EA for a high-level executive or in a related role.
  • Ability to obtain and retain a Public Trust clearance.
  • Ability to work well with a team in a high-visibility, fast-paced environment.
  • Flexibility in balancing competing and new priorities with excellent oral and written communication skills.
  • Proactive and operate with minimal guidance while understanding intent.
  • Combination of education and experience may be used to qualify for this position. Experience must be equivalent to four years of specialized experience at the GS-9/11 level in the Federal Government.

Nice To Haves

  • Prior experience in a Federal agency (HHS preferred but not required)
  • Have already completed the HHS security clearance process, and onboarding is preferred but not required.

Responsibilities

  • Perform administrative tasks, including but not limited to: Appointments, calendars, schedule, and customer service
  • Manage mail, correspondence, and reports
  • Handle internal and external contact work
  • Provide meeting preparation and assistance
  • Coordinate travel
  • Prepare daily briefing materials for leadership
  • Rely on experience and judgment to plan/accomplish goals and anticipate/adapt to leadership needs
  • Ability to multitask (supporting multiple personnel and/or projects), meet quick turnaround deadlines, maintain professionalism in a high-pressure environment, etc.
