About The Position

The Executive Assistant provides comprehensive, high-level support across professional, personal, and family priorities for the principal. This role requires strong organizational skills, discretion, and the ability to manage complex logistics across multiple workstreams while adapting to frequently changing priorities. The Executive Assistant serves a critical role for the principal, ensuring day-to-day operations run smoothly and that both professional and personal obligations are executed efficiently. The Executive Assistant owns end-to-end execution and outcome accountability. This position requires a high degree of flexibility, responsiveness, and availability, including support during evenings and weekends as needed, to ensure seamless coordination. Success in this role requires strong judgment, proactive problem-solving and communication skills, and an ability to execute efficiently within a highly dynamic environment.

Requirements

  • Bachelor’s degree
  • Two years’ administrative experience supporting busy senior leader(s) required.
  • Computer proficiency with Microsoft Office software to include Outlook and Teams.
  • Proactive – brings a solution-oriented mindset and the capability to organize day-to-day activities and communicate in advance to ensure alignment across stakeholders.
  • Ability to anticipate needs and proactively address issues before they arise
  • Professional - strong judgment, discretion, and high confidentiality.
  • Reliable and trustworthy.
  • Professional presence and ability to interact effectively with the principal and all stakeholders as a representative of the family.
  • Detail-oriented - ability to manage complex logistics and adapt, when necessary, in a fast-paced, dynamic environment.

Responsibilities

  • Manage the principal’s complex personal and business calendar, strategically prioritizing professional, personal, family, and philanthropic commitments while proactively resolving conflicts, anticipating scheduling needs, and optimizing the principal’s time and availability.
  • Coordinate and execute logistics for professional and personal engagements, including meetings, appointments, conferences, speaking engagements, board meetings, leadership events, travel, and hospitality events involving internal and external people.
  • Support executive effectiveness and preparation, including coordinating materials and schedules for speaking engagements, attending meetings and educational programs on behalf of leadership when needed, and providing organized notes, action items, and follow-up to ensure continuity and execution.
  • Plan and coordinate complex, multi-destination travel for both professional and personal purposes.
  • Anticipate travel needs, manage changes, and resolve issues to ensure smooth execution of trips.
  • Prepare detailed itineraries and ensure all travelers have the information and resources needed.
  • Lead coordination of dynamic schedules for family, including school, activities, appointments, and other commitments.
  • Communicate schedule changes clearly and promptly with all appropriate stakeholders.
  • Provide logistical oversight as needed.
  • Serve as the primary coordinator for successful family, social, professional, and philanthropic events ranging from intimate gatherings to large-scale events with 40–200+ attendees.
  • Prepare materials, provide on-site support, when necessary, as part of managing event setup, execution, guest experience, and post-event follow-through.
