About The Position

Omega Health Services is seeking a High-Caliber, Strategic Executive Assistant to serve as a "force multiplier" for one of their Regional Partners. This is not a traditional administrative role; it is a fast-paced, "on-the-move" partnership requiring an expert in logistical choreography, discreet gatekeeping, and proactive problem-solving. The Executive Assistant acts as the Partner’s operational extension and trusted advisor across several critical domains: Executive Time Mastery, Strategic Correspondence, High-Stakes Events & Travel, Financial & Resource Oversight, Confidentiality & Integration, and Special Projects.

Requirements

  • Minimum 5+ years of progressive experience supporting C-Suite (CEO, COO, Managing Partner) leaders.
  • Experience in healthcare or highly regulated sectors is a significant advantage.
  • Advanced, fluent proficiency in Office 365 (Outlook, Excel, PowerPoint) and secure document management systems like SharePoint.
  • Ability to travel occasionally (approx. 5%) and maintain availability for critical after-hours communications to support a dynamic schedule.
  • Strategic Foresight: The rare ability to anticipate needs, roadblocks, and solutions before they are ever articulated.
  • Impeccable Communication: The executive presence and confidence required to seamlessly interface with Board Members, external partners, and high-level leaders.
  • Resourcefulness: A relentless "find a way" mentality when faced with unexpected logistical or operational hurdles.

Responsibilities

  • Own and optimize a complex, high-velocity calendar, ruthlessly protecting the Partner’s focus while navigating multi-stakeholder conflicts and shifting priorities.
  • Act as the primary filter for all communications, triaging, drafting, and ghostwriting in the Partner’s voice, ensuring high-touch responsiveness and a professional polish.
  • Coordinate intricate domestic and international travel itineraries.
  • Occasionally travel with the Partner (approx. 5%) to manage logistics on the ground, take strategic minutes in high-level meetings, and ensure action items are tracked to completion.
  • Manage the executive office budget, process high-level expense reports with precision, and ensure all financial filings are compliant and timely.
  • Handle a sensitive blend of professional and personal matters with absolute discretion, acting as the "vault" for sensitive documents, financial data, and internal communications.
  • Conduct organizational research, design high-impact presentation decks, and manage cross-departmental deliverables to keep the Partner’s strategic goals on track.
