About The Position

This position serves as a key component of the administrative operations of the OSU Cancer Program (Comprehensive Cancer Center and The James Cancer Hospital and Solove Research Institute). This includes (The James) the third largest cancer hospital in the country which is, 1.1-million-square-foot, 21 levels, and 356+ beds, and the OSUCCC that consists of over 300 faculty members and promotes translational research across all colleges within OSU to which OSUCCC members belong. The Executive Assistant manages and provides lead administrative support to the office of the Comprehensive Cancer Center - James Cancer Hospital and Solove Research Institute. The Executive Assistant works under minimal supervision and is responsible for the efficient operations and professional image of the Office of the OSUCCC- James.

Requirements

  • Bachelors degree or equivalent experience.
  • Four years of senior administrative support experience including knowledge and experience in managing complex scheduling and impeccable attention to detail.
  • Sound judgment and the ability to prioritize.
  • Ability to define problems, collect data, establish facts, draw conclusions and recommend appropriate action.

Nice To Haves

  • Administrative experience in a hospital, executive suite, and/or supporting multiple leaders is desired.
  • Substantial prior experience working with or for a senior executive and interacting with senior executives, community leaders, donors, and other similar roles.
  • Substantial knowledge and experience in higher education and/or large health systems or other large, complex organizations.
  • Significant prior administrative support experience making travel arrangements, purchasing goods and services, and relevant administrative policies and procedures.

Responsibilities

  • Serves as a primary team member supporting the daily executive administrative needs of the CEO, including, but not limited to, serving as an initial point of contact with board members, executive leaders across the OSUCCC-James, The Ohio State University and Wexner Medical Center, donors, government and community leaders, and faculty, staff, and learners across the University.
  • Reviews and processes confidential and critical information in support of administrative activities.
  • Assesses level of priority in determining urgency.
  • Schedules appointments and coordinates meetings and engagements for the CEO’s extensive calendar.
  • Compiles, prepares and prioritizes daily materials needed to facilitate the efficient and effective use of the CEO’s time.
  • Assesses inquiries and concerns directed to the CEO’s office, assesses course of action and delegates to appropriate person or unit to handle.
  • Conveys directives and critical information to other senior executives, faculty, and staff.
  • Coordinates, prepares and reviews a wide range of written materials for the CEO, including agendas, itineraries, presentations, correspondence, letters, and memos.
  • Reviews documents requiring the CEO’s signature or response to ensure compliance with current administrative policy.
  • Makes travel arrangements and processes expense reimbursements.
  • Coordinates special projects as directed.
