About The Position

This role goes beyond traditional administrative support—it offers the opportunity to build a strong, trusted partnership with senior leadership. As Executive Assistant, you will work closely with the President of North America, as well as two Vice Presidents, helping to drive organization, communication, and operational efficiency across the region. You will play a key role in enhancing leadership effectiveness by ensuring priorities are well managed, information flows smoothly, and day-to-day operations run seamlessly. In doing so, you will help enable the region’s continued growth and success. As the face and voice of the Office of the President and key business leaders, you will operate with the utmost discretion and professionalism—managing complex schedules and communications and serving as a critical liaison across internal teams and external stakeholders. You will act as both a gatekeeper and a bridge-builder, bringing a balance of emotional intelligence, sound judgment, attention to detail, and confidentiality to every aspect of the role. Requirements

  • 2–4 years of professional experience; prior administrative or project coordination experience is a plus
  • In office requirement – 5 days a week
  • Strong communication skills, both written and verbal
  • Highly organized with strong attention to detail
  • Proactive, dependable, and eager to learn
  • Ability to manage multiple tasks and priorities effectively
  • Proficient in Microsoft Office (Outlook, PowerPoint, Excel, Word)
  • Familiarity with Teams, Zoom, and other collaboration tools
  • High level of professionalism, discretion, and judgment
  • Positive team-oriented mindset with a “no task too small” attitude
  • Strong customer-service orientation and desire to support others

Responsibilities

  • Provide day-to-day administrative support to the President and Vice Presidents, helping manage schedules, priorities, and key deliverables.
  • Assist in preparing materials, agendas, and briefing documents for meetings and presentations.
  • Maintain regular communication with leadership to stay aligned on priorities and upcoming needs.
  • Serve as a point of contact between leadership and internal teams, as well as external partners.
  • Help coordinate communications, ensuring clarity, accuracy, and professionalism.
  • Monitor and help prioritize incoming requests, ensuring timely follow-up and escalation when needed.
  • Manage and coordinate calendars, scheduling meetings in alignment with business priorities.
  • Support meeting logistics, including agendas, materials, and follow-ups.
  • Arrange travel, including booking logistics and preparing itineraries.
  • Process and track expenses in a timely and accurate manner.
  • Assist in coordinating team meetings, events, and offsites.
  • Anticipate needs and provide support to help leaders stay organized and focused.
  • Build strong working relationships with team members across the organization.
  • Contribute to a collaborative, positive team environment while maintaining professionalism and discretion.
