About The Position

As an Executive Assistant, you will provide high-level administrative support to the Executive Director of Strategy & Transformation, who also serves as the Rosslyn Site Executive. This position plays a critical role in enabling seamless daily operations, supporting both organizational transformation work and site-level leadership responsibilities. The ideal candidate will demonstrate exceptional professionalism, discretion, organizational capability, and the ability to operate effectively in a fast-paced, global environment.

Requirements

  • Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 6 years relevant experience.
  • Experience with Microsoft Office applications, including Outlook (email and calendar), Word, Excel, Teams, and PowerPoint.
  • Experience coordinating travel and processing expense reports.
  • Prior experience supporting senior or executive-level leaders.
  • U.S. citizenship is required, as only U.S. citizens are authorized to access information under this program/contract.

Responsibilities

  • Manage complex and dynamic calendars for the executive leader and his direct reports, including conflict resolution and weekly calendar optimization.
  • Proactively manage email communications, ensuring visibility into high-priority items and coordinating actions across diverse stakeholders.
  • Coordinate domestic and international travel logistics, ensuring compliance with company policies and required documentation.
  • Prepare, submit, and track expense reports and invoices in alignment with company procedures.
  • Schedule, coordinate, and support virtual and in-person meetings, including agenda preparation, securing speakers, arranging conference rooms, catering, and technology support.
  • Draft, edit, and distribute team and employee-related communications, including emails, meeting summaries, and organizational updates.
  • Maintain and update team documentation, including distribution lists, presentations, shared files, Teams channels, organizational charts, and websites.
  • Serve as an on-site representative for the Site Executive, ensuring timely and accurate communication with employees and site partners.
  • Support coordination and execution of site-level events and activities, including leadership meetings, employee engagements, and operational reviews.
  • Order supplies, meals, and materials for staff meetings, leadership events, and Rosslyn site activities as needed.
  • Collaborate with administrative and operational teams across the site and enterprise to support an efficient and cohesive support infrastructure.
  • Assist in maintaining site-level documentation, compliance requirements, and communication channels that enable effective site leadership.
