You will receive 18 remote workdays per quarter to use at your discretion, subject to manager approval. For example, you may choose to work in the office 4 days per week and take one remote day weekly (typically 13 weeks per quarter), leaving 5 additional remote days to be used as needed. We are seeking an experienced Executive Assistant to provide a broad range of support to senior members of the HarbourVest Global Private Wealth leadership team. This individual will serve as the main point of contact for our Global Private Wealth teammates and will help build a professional and welcoming environment for the team and external parties. The ideal candidate is someone who is: An excellent written and verbal communicator Able to communicate professionally and confidently with colleagues of all levels Highly organized and able to balance multiple responsibilities and prioritize effectively Committed to excellence with high attention to detail and follow-through Technologically proficient with a thorough knowledge of Microsoft Office Suite and ability to learn and adapt quickly to other applications. Prior experience with Concur travel and expense management platform

Requirements

  • Demonstrated experience in supporting senior leadership with calendar management
  • Experience with onsite meeting coordination and materials production
  • Motivated, self-starter with the ability to work independently as well as part of a team
  • Ability to build and foster strong working relationships with stakeholders at all levels, and across multiple functions and geographies
  • Problem solving skills with a bias for action leveraging data, technology applications and other tools
  • 10 years+ Executive Assistant support experience supporting senior level Executives

Nice To Haves

  • Bachelor of Arts (B.A.), Bachelor of Science (B.S.), or equivalent experience

Responsibilities

  • Provide Executive Assistant support to Leadership and their team
  • Manage large scale, global calendar management
  • Manage team expense report processing for events and travel through SAP Concur Expense platform
  • Respond to email, MS teams and phone calls in a timely manner
  • Coordinate onsite meetings with vendors and clients
