About The Position

Function Health is seeking a highly organized, proactive, and discreet Executive Assistant (EA) to support its Chief Technology & Product Officer (CTPO) and VP of Engineering. This role involves serving as a trusted partner to these leaders, managing complex calendars, coordinating cross-functional communication, organizing travel, and ensuring their time is aligned with organizational priorities. The EA will also assist in coordinating team offsites and events, and support the logistics of shared co-working spaces. The ideal candidate is a self-starter comfortable with ambiguity, detail-oriented, resourceful, and capable of thriving in a fast-paced environment. This position is crucial for shaping the company's future growth and requires a candidate motivated by the mission and excited by a high-growth setting. Boston-based candidates are strongly preferred due to frequent collaboration needs.

Requirements

  • 5+ years of experience as an Executive Assistant, preferably supporting technical executive leaders in a fast-paced or start-up environment.
  • Exceptional organizational skills with proven ability to manage multiple priorities under pressure.
  • Strong written and verbal communication skills, with attention to detail.
  • High emotional intelligence & discretion.
  • Proficiency in Google Workspace, Slack, Zoom, and other productivity tools.
  • Google Calendar mastery
  • Ability to work independently, anticipate needs, and solve problems quickly.

Responsibilities

  • Manage the CPTO and VP of Engineering’s complex calendars, scheduling appointments and meetings
  • Coordinate with internal and external contacts to arrange each leader’s commitments
  • Prioritize and resolve scheduling conflicts
  • Handle correspondence on behalf of the executives, including emails, Slack, sync requests, and scheduling coordination
  • Act as a liaison between the CPTO, VP of Engineering, and other executives, board members, and external partners
  • Screen and prioritize incoming communications
  • Arrange travel itineraries, including transportation, accommodations, and agendas
  • Prepare necessary documents for board, executive, and team meetings
  • Cross-collaborate with other EAs to plan offsites and set up co-working spaces as we scale
  • Prepare reports, presentations, and other documents
  • Manage and maintain records
  • Support team offsites and company events
  • Oversee and assist with special projects as assigned
