About The Position

The Executive Assistant is responsible for providing day-to-day support to a Senior level leader and their direct reports as needed. Responsible for calendar management, correspondence, presentation preparation, travel arrangements, meeting planning/organization, expense reconciliation, policy enforcement, etc.

Requirements

  • 7+ years of executive assistant experience
  • High School or GED - Required
  • Proficiency in Microsoft Outlook, Word, Excel, Power Point, Teams, and Visio

Nice To Haves

  • 3+ years supporting a C-level executive preferred
  • Previous supervisory experience and/or office management experience preferred
  • 4 Year / Bachelor's Degree - Preferred
  • High level of confidentiality, diplomacy, and integrity
  • Ability to proactively anticipate needs and take appropriate and timely action
  • Flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors
  • Strong leadership skills with the ability to handle multiple tasks simultaneously while meeting deadlines
  • Excellent customer service skills and attitude
  • Highly detail oriented
  • Excellent organizational, time management, quality execution, and follow-through skills

Responsibilities

  • Perform administrative duties for Senior management.
  • Screening calls
  • Making/coordinating U.S. and international travel arrangements
  • Preparing presentations, reports, and financial data
  • Compose and type routine correspondence and advanced level presentations
  • Organizes and maintains file system
  • Heavy calendar management. Coordinate leadership's schedule and makes appointments
  • Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities
  • Manage all meeting space and internal video equipment needs for meetings/events
  • Other duties as assigned
