About The Position

We are seeking a proactive, highly organized, and tech-savvy Executive Assistant to support our coaching team. This role goes beyond traditional administrative support—you will act as a strategic partner in managing priorities, coordinating client delivery, and ensuring the business operates smoothly day-to-day. The ideal candidate is a master of logistics, a discreet gatekeeper, and a proactive operator who anticipates needs, identifies risks, and keeps both leadership and client work on track.

Requirements

  • 2–3 years of experience in a similar role
  • Experience working in a client services, agency, or consulting environment strongly preferred.
  • Experience managing workflows and projects in tools like ClickUp (or similar project management platforms)
  • Proficient in Google Suite. Knowledge of HubSpot is a plus.
  • Experience with AI productivity tools (e.g., ChatGPT, Claude)
  • Exceptional written and verbal communication; ability to thrive in a fast-paced, shifting environment; and a "no task too small" mentality combined with high-level strategic thinking.
  • Strong attention to detail and comfort managing multiple tasks
  • Process-Oriented Mindset: Willingness to follow established processes and playbooks with precision, while contributing to the development and refinement of processes.

Nice To Haves

  • Knowledge of HubSpot is a plus.

Responsibilities

  • Manages complex schedules and coordinates meetings with internal and external parties, utilizing multiple calendars, and anticipating problems and conflicts in advance.
  • Manages and filters client communication, follows up on action items, and provides post-meeting notes.
  • Monitors client scopes and deliverables to ensure projects stay on time, on budget, and aligned with expectations.
  • Proactively calls out red flags to the team about clients at risk or projects being off track.
  • Monitors a team's workload and capacity and makes recommendations to adjust as needed.
  • Create and manage client profitability reports and send notes to team members.
