About The Position

Provide high-level administrative support to the Chief Officers and other Executive Committee members. The Assistant provides executive support in a one-on-one working relationship. The Executive Assistant is the liaison to senior management teams; organizes and coordinates executive outreach and external relationships. The Executive Assistant must have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

Requirements

  • 5+ years of executive administrative support experience.
  • Experience supporting senior leaders, physicians, department directors, or executives in a complex organization.
  • Demonstrated experience managing multiple priorities, calendars, meetings, and projects simultaneously.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Excellent organizational, time-management, and prioritization skills with strong attention to detail.
  • Exceptional written and verbal communication skills.
  • Ability to manage complex calendars, schedule meetings, and coordinate events involving multiple stakeholders.
  • Strong business acumen and sound judgment in handling competing priorities and confidential information.
  • Demonstrated ability to work independently, anticipate needs, and proactively solve problems.
  • Strong proofreading, editing, and document preparation skills.
  • Ability to develop and maintain effective working relationships with physicians, faculty, executives, staff, and external partners.
  • Experience coordinating projects, tracking action items, and ensuring timely follow-up on deliverables.
  • Flexible and adaptable in a fast-paced, constantly evolving environment.
  • Strong customer service orientation and commitment to providing high-quality support.
  • Demonstrated professionalism, discretion, and ability to handle sensitive and confidential information.

Nice To Haves

  • Experience in healthcare, academic medicine, physician practice operations, or hospital administration.
  • Experience supporting multiple leaders and coordinating department-wide activities.
  • Bachelor's Degree.

Responsibilities

  • Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the holistic operations of the company.
  • Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
  • Conserve the Executive's time by reading, researching, collecting, and analyzing information as needed, in advance.
  • Work closely with other executive assistants from the System for scheduling complex meetings.
  • Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization.
  • Assist in preparing and managing presentations and decks.
  • Arrange travel and accommodations for executives.
  • Prepare expense reports.
  • Be responsive to emails/texts/phone calls, with contact outside normal business hours.
  • Sustain a daily calendar of meetings and events.
  • Organize complex calendars and schedules, resolving any scheduling issues.
  • Manage the Executive's contacts.
  • Improve administrative workflows and support operational efficiency.
