About The Position

We are seeking a highly polished and proactive Executive Assistant to support two C-Suite leaders—the COO/CFO and Chief Brand Officer. This role requires a seasoned professional who can operate as a strategic extension of executive leadership and manage high-level administrative responsibilities with precision and discretion. The ideal candidate thrives under pressure, demonstrates sound judgment, and brings a high level of ownership, accountability, and professionalism to executive support.

Requirements

  • Proven experience supporting multiple C-level executives, ideally in finance and brand/marketing leadership.
  • Advanced calendar management skills.
  • Ability to interact confidently with internal and external stakeholders.
  • Strong sense of urgency, discretion, and professionalism in handling sensitive information.
  • Excellent organizational and time-management skills.
  • High level of confidentiality and professionalism.
  • Strong written and verbal communication skills.
  • Ability to adapt quickly to shifting priorities and executive preferences.

Nice To Haves

  • Experience supporting COO, CFO, or Chief Brand/Marketing Officer specifically.
  • Experience in consumer products, entertainment, or creative-driven environments.
  • Experience with board materials, executive decks, or investor-related coordination.
  • Familiarity with expense tools like Concur or similar.
  • Event or offsite planning experience for leadership teams.
  • Comfortable working outside of standard business hours when needed.
  • Experience supporting leadership in a corporate or high-growth environment preferred.

Responsibilities

  • Manage complex and ever-changing calendars with expert prioritization and conflict management.
  • Coordinate domestic and international travel, including high-touch travel coordination with frequent last-minute changes and detailed itineraries.
  • Prepare presentations and communications as needed.
  • Act as a primary liaison across internal teams and external partners.
  • Anticipate needs, solve problems proactively, and create structure in a fast-moving environment.
  • Serve as a true gatekeeper and strategic partner, not just reactive support.
