About The Position

We are seeking a highly organized, proactive, and professional Executive Assistant to provide high-level administrative support to the Business Development team and other senior leaders as needed. This role is ideal for someone who thrives in a fast-paced environment, anticipates needs, manages competing priorities with confidence, and serves as a trusted partner to executive leadership. The ideal candidate is detail-oriented, adaptable, and capable of handling sensitive information with discretion while supporting critical business operations and customer-facing activities.

Requirements

  • High school diploma or equivalent required
  • 5+ years of experience supporting executive or senior leadership teams
  • Strong organizational, multitasking, and prioritization skills
  • Excellent written and verbal communication skills
  • High level of professionalism, discretion, and attention to detail
  • Advanced proficiency with Microsoft Office Suite including Outlook, PowerPoint, Excel, and Word
  • Ability to work independently and adapt in a dynamic business environment
  • U.S. Citizenship required

Nice To Haves

  • associate or bachelor’s degree preferred
  • Experience supporting leaders in manufacturing, defense, engineering, or technical organizations preferred
  • Experience coordinating events or business development activities is a plus

Responsibilities

  • Provide executive-level administrative support to multiple leaders, including calendar management, meeting coordination, and travel arrangements
  • Coordinate domestic and international travel, itineraries, expense reporting, and logistics
  • Support Business Development activities including customer visit coordination, event scheduling, presentation preparation, and meeting logistics
  • Prepare reports, presentations, correspondence, agendas, and other business documents
  • Organize and coordinate leadership meetings, team events, offsite meetings, and employee engagement events
  • Manage confidential and sensitive information with professionalism and discretion
  • Track action items, deadlines, and follow-up activities to support organizational priorities
  • Serve as a key point of contact between leaders, internal teams, customers, and external partners
  • Support Human Resources initiatives focused on employee engagement and workplace culture
  • Coordinate and promote Volunteer Time Off (VTO) programs and employee participation activities
  • Plan and execute employee events, recognition programs, and team-building activities
  • Manage vendor communication and coordination for events and engagement initiatives
  • Create and distribute employee communications, promotional materials, and event flyers using Canva, in coordination with Sr. Marketing Communications Manager
  • Assist with ongoing engagement strategies to enhance employee morale and organizational culture
