Requirements

  • Bachelor’s degree in Business, Operations, or a related field OR 2 years’ experience in field, administration, operations, or a related area.
  • Knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Proficiency in software for managing complex calendars, scheduling meetings, and sending invitations.
  • Familiarity with platforms used for managing budgets, tracking expenses, and coordinating travel arrangements (e.g., Spotnana, Concur).
  • Highly organized, able to prioritize tasks, and manage multiple projects simultaneously.
  • Effective time management skills to meet deadlines and stay on top of tasks.
  • Ability to identify and resolve problems proactively and think critically to find solutions.
  • Adaptability to changing priorities and effectiveness in a fast-paced, dynamic environment.
  • Strong interpersonal skills to build and maintain positive relationships with colleagues, clients, and stakeholders.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Responsibilities

  • Coordinate and schedule company and business-related events by researching options, resources, and cost efficiencies within established timeframes.
  • Establish timelines and agendas for events, identifying and coordinating specific technology needs.
  • Organize and schedule pre-travel preparations and business needs.
  • Act as a coordinator or liaison for visiting associates and guests.
  • Handle calendar management for leadership and team with minimal supervision, coordinating appointments, understanding calendar needs, and anticipating time requirements for pre-meeting work.
  • Monitor and maintain calendars and the use of meeting rooms or facilities, prioritizing requests and identifying key attendees.
  • Utilize business and process knowledge to draft electronic, verbal, and written communications for leadership.
  • Follow up with requests to ensure resolution, communicate with senior leadership to gather information and resolve issues.
  • Draft and send communications on behalf of supervisors.
  • Review and edit documentation and prioritize incoming messages.
  • Model compliance with company policies and procedures, support company mission values, and standards of ethics and integrity.
  • Demonstrate respect for individuals, drive a positive associate and customer/member experience, and build strong and trusting relationships.
