About The Position

We’re looking for a highly organized, proactive, and resourceful Executive Assistant in New York City, to provide high-level administrative support to multiple senior leaders. This individual will be a key partner in enabling our executives to operate efficiently. This role requires exceptional judgment, discretion, organization, and the ability to anticipate needs in a fast-paced environment. The Executive Assistant acts as a trusted partner, managing priorities, coordinating complex logistics, and serving as a key point of connection across the organization. This is a hybrid role, with an expectation of at least 3 days per week in-office. About Talkiatry: Talkiatry transforms psychiatry with accessible, human, and responsible care. We’re a national mental health practice co-founded by a patient and a triple-board-certified psychiatrist to solve the problems both groups face in accessing and providing the highest quality treatment. 60% of adults in the U.S. with a diagnosable mental illness go untreated every year because care is inaccessible, while 45% of clinicians are out of network with insurers because reimbursement rates are low, and paperwork is unduly burdensome. With innovative technology and a human-centered philosophy, we provide patients with the care they need and allow psychiatrists to focus on why they got into medicine.

Requirements

  • 5+ years of experience supporting multiple senior executives in fast-paced environments (startup, healthcare, or technology preferred)
  • Demonstrated ability to manage competing priorities with strong judgment and attention to detail
  • Exceptional written and verbal communication skills, including experience drafting executive-level materials
  • Strong organizational and project management capabilities with a proactive, solutions-oriented mindset
  • High level of discretion and ability to handle sensitive and confidential information
  • Comfortable operating both tactically and strategically, adapting quickly to changing priorities
  • Proficiency with productivity tools (Microsoft Office, Google Workspace, etc.)

Responsibilities

  • Optimize executive time and focus by managing complex calendars, aligning priorities, and anticipating needs across competing demands.
  • Ensure executives are well-prepared for internal and external engagements by driving agenda development, materials preparation, and follow-ups.
  • Serve as a liaison between executives and internal/external stakeholders, facilitating clear, timely, and effective communication.
  • Coordinate complex travel and logistics, ensuring seamless execution and efficient use of time and resources.
  • Draft, edit, and manage high-quality communications and presentations for a variety of audiences.
  • Partner across teams (including IT and People Ops) to support onboarding, events, and key initiatives.
  • Coordinate logistics and materials for board meetings, offsites, and executive-level events in collaboration with the EA team.
  • Build and maintain systems for tracking priorities, deliverables, and information flow across executive workstreams.
  • Identify and implement process improvements that enhance efficiency, scalability, and team effectiveness.
  • Lead or support cross-functional projects as needed, often requiring discretion and independent judgment.
