The Opportunity We are looking for a highly organized, proactive, and trusted Executive Assistant to support members of our senior executive team. This role is ideal for someone who thrives in a fast-moving environment, enjoys bringing structure and clarity to busy days, and takes pride in helping leaders operate at their best. The Executive Assistant plays an important role in supporting the day-to-day effectiveness of senior executives through thoughtful coordination, strong communication, sound judgment, and proactive problem-solving. This role requires someone who can anticipate needs, manage competing priorities, navigate changing situations with confidence, and handle sensitive information with discretion and professionalism. The right person for this role is adaptable, detail-oriented, calm under pressure, and comfortable working across all levels of the organization. They are equally strong at managing logistics, building relationships, and finding smarter, more efficient ways of working, including leveraging technology and AI-enabled tools to improve coordination, communication, and productivity.

Requirements

  • 5+ years of experience supporting senior executives in a fast-paced environment
  • Exceptional organizational and prioritization skills with strong attention to detail
  • Strong written and verbal communication skills
  • High level of professionalism, discretion, and judgment when handling confidential information
  • Ability to manage multiple priorities and adapt quickly in an evolving environment
  • Strong relationship-building skills and the ability to work effectively across teams and levels
  • Advanced proficiency with Microsoft Office, including Outlook, PowerPoint, Word, and Excel
  • Ability to work independently, think ahead, and proactively solve problems

Responsibilities

  • Manage complex calendars, scheduling, and meeting coordination across multiple priorities and time zones
  • Help executives stay focused on key priorities by proactively managing schedules, communications, and follow-ups
  • Monitor and help prioritize incoming requests, ensuring urgent matters are addressed in a timely manner
  • Coordinate travel, meetings, events, and other executive logistics
  • Act as a trusted point of contact for internal and external stakeholders on behalf of supported executives
  • Build strong working relationships across teams and with the broader executive assistant community
  • Support the preparation of presentations, reports, meeting materials, agendas, and communications
  • Help coordinate executive updates, announcements, and leadership communications as needed
  • Manage expenses, approvals, purchase orders, and other administrative processes
  • Maintain organized records, documents, contact lists, and administrative resources
  • Support leadership meetings through coordination, note-taking, and follow-up actions where required
  • Assist with special projects and help drive operational efficiency across teams
  • Look for opportunities to simplify processes, improve coordination, and create more efficient ways of working
  • Bring a proactive, solutions-oriented mindset and help anticipate challenges before they arise
  • Embrace new tools and technologies, including AI-enabled solutions, to improve efficiency, organization, and ways of working
