About The Position

The Executive Assistant (EA) provides high-level administrative, coordination, and operational support to senior leadership roles within the organization. Working at the top of scope, the EA supports senior leaders in advancing the organization’s mission, priorities, and overall efficiency. The EA exercises independent judgment, discretion, and initiative in managing complex workflows, sensitive communications, and cross-departmental coordination in a community healthcare environment.

Requirements

  • Advanced organizational, communication, and analytical skills
  • Ability to represent the organization in a manner that reflects professionalism, integrity, and respect
  • Strong understanding of community health environments and the social determinants of health
  • Ability to manage complex priorities in a fast-paced, multi-interest holder context
  • High emotional intelligence, professionalism, adaptability and relationship building skills
  • Proficient in the use of computers and various other software applications including Microsoft Office Suite, AI software, PSS/EMR experience considered an asset
  • Understand and are committed to the Mission, Vision and Values of the Guelph CHC.

Responsibilities

  • Manage and prioritize calendars, commitments, and correspondence for senior leadership roles, ensuring alignment with organizational priorities.
  • Prepare, review and edit briefing materials, presentations, reports, and communications for internal and external stakeholders
  • Provide coordination, documentation, and tracking support for departmental and organizational initiatives, workplans, and performance reporting
  • Support quality improvement initiatives and activities
  • Coordinate and support internal and external partnership meetings
  • Provide administrative support for budget preparation, expenditure tracking, and procurement processes
  • Work across teams and sites to support the broader organization mission, vision, and values
