About The Position

We're hiring an Executive Assistant to support the founders and leadership team of a fast growing stealth robotics company entering an exciting new phase of growth. As the company's first Executive Assistant, you'll establish the systems and operational rhythm that enable leadership to move at a fast pace without sacrificing organization or focus. The role requires strong judgment and high attention to detail. You’ll need to anticipate needs, prevent problems, and remove barriers before they impact the team. By building organized systems, you'll help ensure leaders remain aligned on the company's highest priorities without letting anything fall through the cracks. This role is based in San Francisco and requires working onsite with the team five days per week, given how closely integrated it is with day-to-day operations. Requirements

  • Experience supporting senior executives, founders, or leadership teams in a fast paced, high growth environment
  • A proactive mindset with the ability to anticipate needs, solve problems independently, and create structure in evolving situations
  • Exceptional organizational skills with a track record of managing competing priorities, coordinating complex schedules, and keeping projects on track
  • Strong judgment and discretion, with the ability to manage sensitive information and confidential matters with professionalism and care.
  • A high level of ownership and accountability, with a willingness to step in wherever needed to help the team succeed
  • A genuine enthusiasm for being part of an in-person team and contributing to the energy of a company during a transformative period of growth.
  • Comfortable with modern workplace tools such as Google Workspace, Slack, Zoom, Notion, and spreadsheet applications

Nice To Haves

  • experience with expense management, presentation tools, or recruiting platforms is a plus
  • Additional experience supporting workplace operations, vendor relationships, event planning, or office management is welcome but not required

Responsibilities

  • Manage complex calendars for founding team, coordinating meetings with internal stakeholders, external partners, and cross functional teams through multiple timezones.
  • Anticipate friction points and put simple processes in place to ensure priorities and details don’t slip.
  • Manage the cofounders inbox and communications, triaging messages and drafting/responding as needed.
  • Coordinate travel logistics, including flights, lodging, ground transportation, and detailed itineraries.
  • Organize and support events such as team dinners, offsites, and special occasions.
  • Support office operations by collaborating with the Operations Manager on facilities logistics, vendor management, and inventory tracking.
