About The Position

Jefferson Capital is seeking an Executive Assistant to provide high-level administrative support to the CEO and Senior Management Team. This role involves performing a variety of administrative, scheduling, data management, analytical, and research duties. The ideal candidate will be self-motivated, well-organized, possess strong professional communication skills, exhibit flexibility and confidentiality, and be willing to embrace daily challenges and opportunities.

Requirements

  • Bachelor's degree required, Business Administration or equivalent preferred.
  • Three to five years prior experience supporting a senior executive or leadership team.
  • Advanced knowledge and proficiency in Microsoft Office Suite, and scheduling.
  • The ability to meet deadlines in a fast-paced environment.
  • Strong organizational and time-management skills that reflect the ability to perform and prioritize multiple tasks with excellent attention to detail.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and responsiveness.
  • Excellent written and verbal communication skills.
  • Highly resourceful team-player, with the ability to also be effective independently.
  • High sense of urgency, drive, and commitment to get the job done within the expected timeframes.

Nice To Haves

  • Previous experience supporting executives at a public company preferred.

Responsibilities

  • Draft, review, and send communications on behalf of the CEO.
  • Organize and prepare for meetings (in person and virtual), including scheduling, gathering and/or developing presentation materials, and arranging meeting logistics.
  • Prioritize CEO emails and advance queries where appropriate.
  • Coordinate travel arrangements for all company business travel in a cost-effective manner.
  • Maintain various records and documents for the CEO, including confidential and sensitive information.
  • Serve as liaison between CEO, staff, and the public, including screening calls and visitors, answering questions with tact and diplomacy, taking messages, and directing calls appropriately.
  • Create, update, and maintain a variety of projects and reports utilizing PowerPoint, Excel, and other Office programs.
  • Coordinate quarterly board meetings including scheduling, preparing materials, and acting as a liaison between the board and the CEO.
  • Manage office, including answering all incoming phone calls, ordering office supplies, liaising with office vendors, managing office projects, and stocking break room.
  • Provide occasional support for other senior executives, including the CFO and General Counsel as needed.
