About The Position

As an Executive Assistant, you’ll be part of our Corporate IT team working as a hybrid employee. You’ll be a trusted assistant to VP-level executives, providing comprehensive support. This role involves managing complex calendars, arranging domestic and international travel, planning events, submitting expense reports, serving as a delegate in approval systems, managing distribution lists, and creating PowerPoint presentations. You will partner with the Corporate executive team, anticipating needs and identifying opportunities to streamline processes. The role requires strong judgment, the ability to handle confidential matters with discretion, and proactive follow-through on projects.

Requirements

  • Associate degree required; Bachelor’s degree preferred.
  • Minimum 3 years of experience supporting VP-Level Executives, preferably within a global company.
  • Highly Proficient in the Microsoft Office suite of products.
  • Proficient with PowerPoint and DocuSign.
  • Expert-level written and verbal communication skills.
  • Relationship Builder, especially cross-functionally and with Executive Assistants.
  • Demonstrated a proactive approach to problem-solving with strong and independent decision-making capability.
  • Excellent analytical, time-management, and project-management skills.
  • Detail oriented.
  • High degree of confidentiality, integrity and professionalism.
  • Highly resourceful team player, with the ability to also be extremely effective independently.
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.

Responsibilities

  • Provide executive support to VP-level executives.
  • Manage a high volume of Outlook calendar and meeting requests.
  • Arrange complex domestic and international travel plans and create detailed itineraries.
  • Manage event planning and logistics for conferences.
  • Submit expense reports on behalf of the executive using SAP/Concur.
  • Serve as a delegate in multiple approval systems.
  • Manage Distribution Lists.
  • Partner with the Corporate executive team, anticipating needs and gaps.
  • Handle Ariba Requisitions/Purchase Order requests.
  • Set up Zoom Webinars, run meetings, advance slides, and invite speakers.
  • Create PowerPoint presentations, assist in preparing presentation materials, and update organizational charts.
  • Compose and prepare confidential correspondence.
  • Maintain discretion and confidentiality in all workplace matters.
  • Prioritize conflicting needs and handle work expeditiously and proactively.
  • Follow through on projects to successful completion, often under deadline pressures.
  • Work closely and effectively with leaders, keeping them informed of commitments and responsibilities.
  • Identify opportunities to streamline functional activities.
  • Exercise strong judgment and maintain balance among multiple shifting priorities.
  • Perform other ancillary duties as required.
